Lima, OH (On-site) Position Purpose The Full-Time Administrative Assistant serves as the primary face and voice of the Association. This role ensures smooth daily operations, delivers exceptional customer service to member
REALTORS
® and Affiliates, and provides vital administrative support to leadership and committees.
Key Responsibilities Member Relations & Front Desk Operations Primary Contact:
Greet visitors, answer multi-line phones, and route inquiries efficiently.
Onboarding:
Process new member applications, setup accounts, and coordinate new member orientation materials.
Inquiries:
Resolve routine member questions regarding dues, licensing steps, and event registrations.
Database & Office Administration Data Management:
Maintain data integrity in the association database and national REALTOR® record systems.
Financial Support:
Process daily payments, issue invoices for dues, and assist with basic receipt tracking.
Facilities Management:
Monitor and order office supplies, manage incoming/outgoing mail, and keep the front office organized. Event & Education Coordination Continuing Education (CE): Assist in coordinating CE classes, tracking member attendance, and submitting rosters to the state licensing board.
Meeting Logistics:
Set up meeting rooms for Board of Directors and committee meetings, including ordering catering and managing AV/Zoom setups.
Event Support:
Help plan and execute major annual association events, fundraisers, and awards ceremonies.
Communications & Marketing Digital Updates:
Update the association website with current event calendars, news, and links.
Newsletters:
Draft and distribute weekly or monthly email newsletters to the membership base.
Social Media:
Schedule routine informational posts on the association's social channels.
Required Qualifications & Skills Experience:
Minimum 2-3 years of administrative assistant or office management experience.
Tech Savvy:
Advanced proficiency in Microsoft Office 365 (Word, Excel, Outlook, PowerPoint).
Communication:
Exceptional verbal, written, and interpersonal communication skills.
Organization:
Proven ability to manage multiple projects, meet tight deadlines, and work independently.
Education:
High school diploma or equivalent required; Associate or Bachelor's degree preferred.
Preferred Qualifications Systems Knowledge:
Prior experience or familiarity with FlexMLS and GrowthZone AMS is highly preferred.
Industry Experience:
Experience working within a nonprofit, member association, or real estate environment. Prior familiarity with electronic lockbox systems (e.g., Supra or SentriLock). Basic experience using graphic design tools like Canva and email marketing platforms like Constant Contact or Mailchimp.
