Job Description

Job Overview We are seeking a highly organized Administrative Coordinator to join our team! The Administrative Coordinator provides administrative and operational support to multiple departments by coordinating office processes, home sale administration, meeting preparation, office organization, conducting data entry for various departments, and company-wide administrative tasks. This position plays an important role in ensuring projects remain organized, deadlines are met, and the office operates efficiently while providing excellent support to management and multiple departments throughout the company.
ESSENTIAL DUTIES & RESPONSIBILITIES
Administrative Coordination Coordinate and manage recurring administrative processes, ensuring tasks are completed accurately and on schedule. Prepare, organize, and maintain reports, records, spreadsheets, and other business documentation. Assist management with administrative projects and process improvements as assigned. Home Sale Administration Coordinate administrative activities related to the home sales process, including homeowner documentation, closing materials, warranty registration, and turnover preparation. Maintain accurate sales, construction, and closing records while ensuring company systems and website information remain current. Office Operations Maintain organized electronic and physical filing systems. Coordinate office supplies, mail, deliveries, and general office organization. Perform assigned data entry duties, including, but not limited to, the purchasing system. Provide administrative and clerical support to multiple departments as needed. Manage inventory of office supplies, including ordering and re-stocking in assigned areas. Meeting & Team Support Coordinate meeting logistics, prepare agendas and materials, and assist with company events and employee recognition activities. Assist with internal communications, newsletters, and other administrative support projects. General Responsibilities Communicate professionally with employees, vendors, homeowners, and business partners. Maintain confidentiality of company information. Perform other duties and special projects as assigned.

QUALIFICATIONS / PRIOR EXPERIENCE
  • High school diploma or GED required.
  • Associate degree or administrative certification preferred.
  • Two+ years of administrative, office management, or coordinator experience preferred.
  • Proficiency with Microsoft Office, including Word, Excel, Outlook and Teams.
WORK ENVIRONMENT
  • Work is performed primarily in an office setting and requires frequent computer use.
  • Must be able to occasionally lift and carry up to 20 pounds.
  • Must be able to sit, stand, walk, bend, reach, and communicate throughout the workday.
  • May occasionally travel to company job sites or other business locations as needed.
Pay:
$20.00 - $22.00 per hour Expected hours: 24.0 - 29.0 per week
