Job Description

Overview TeleMD Health, a healthcare and telehealth organization, is looking for a Part-Time Administrative Coordinator to serve as a reliable point of contact for administrative coordination across our team. This role is ideal for someone who is highly organized, dependable, and comfortable staying on top of ongoing tasks, updates, and follow-ups across different areas of the organization. You won't be managing departments, supervising staff, or performing clinical work - instead, you'll help keep administrative information organized, make sure updates reach the right people, and help prevent important items from falling through the cracks. This is a part-time position, approximately 20 hours per week, with flexible, consistent scheduling. Responsibilities Administrative Coordination Serve as a reliable administrative point of contact for coordination between departments and team members on routine matters. Stay informed on the status of assigned administrative workflows - what's pending, in progress, or completed. Maintain organized, current records of updates, tasks, and follow-up items. Help ensure important information reaches the right people in a timely way. Route questions or requests to the appropriate person when they fall outside your scope. Organization and Follow-Through Manage multiple ongoing tasks and priorities without losing track of details. Maintain trackers, task lists, and calendars for assigned administrative responsibilities. Follow up on outstanding items and pending requests until they're resolved. Flag missing or incomplete information so it can be addressed promptly. Adjust priorities as needs change throughout the day or week. Documentation and Data Accuracy Accurately enter and update information in approved company systems, including our EMR (full training provided). Maintain organized digital records, spreadsheets, and administrative documentation. Review assigned records for completeness and flag discrepancies. Prepare brief status updates or summaries when requested. Scheduling and Communication Support scheduling and calendar coordination, including tracking changes, cancellations, and rescheduling. Handle professional phone and email communication with internal team members and outside contacts. Direct calls, messages, and documents to the correct person or department. Problem-Solving and Judgment Use sound, practical judgment to handle routine administrative questions and issues independently. Ask clarifying questions when information is incomplete or unclear. Escalate matters that require clinical, technical, or management-level attention to the appropriate person. EMR and Systems EMR/EHR experience is a plus but not required - we provide full training on our specific EMR and internal systems. We're looking for someone comfortable using computers and everyday professional software, able to learn a new system and follow its workflows accurately once trained, and who understands the importance of accuracy and confidentiality when working with healthcare-related information. This is an administrative role, not a technical one - you won't be building, managing, or administering any software systems. Healthcare and Telehealth Environment TeleMD Health operates in a healthcare and telehealth setting, so this role touches administrative work connected to scheduling, documentation, records organization, and internal coordination. This is strictly an administrative position - you will not be asked to provide medical advice, diagnose or treat patients, interpret medical information, or make clinical decisions. What We're Looking For Someone who is organized, dependable, detail-oriented, and professional, with a proactive approach and strong follow-through. You should be comfortable coordinating with different people, managing multiple routine priorities, and keeping status information current and accurate. You should communicate clearly, pick up new software and processes with training, work independently once you're up to speed, and handle confidential information responsibly. Qualifications Previous experience in administrative support, office coordination, healthcare administration, operations support, scheduling, or customer service is preferred. Strong organizational and time-management skills. Excellent attention to detail. Ability to manage multiple tasks while maintaining accurate follow-up. Strong written and verbal communication skills, including professional phone and email etiquette. Ability to work independently and take ownership of assigned responsibilities. Good judgment and practical problem-solving skills. Comfortable using spreadsheets, calendars, email, and everyday office software. Ability to learn new systems and workflows with training. Experience with EMR/EHR or healthcare-related systems is a plus but not required. Experience in healthcare or telehealth administration is a plus but not required. Ability to handle confidential and sensitive information professionally.
