Position Overview As the Administrative Services Coordinator, you'll play an integral role in supporting the Club's daily operations, communications, and organizational initiatives. This position works closely with the General Manager and department leaders to ensure information is organized, communications are delivered professionally, and administrative processes run efficiently. Responsibilities Marketing & Communications Assist with the creation, editing, and proofreading of member and staff communications, including newsletters, announcements, publications, emails, and social media content. Help maintain the Club website, social media platforms, and marketing materials. Coordinate marketing campaigns, surveys, and communication projects across departments. Maintain the Club's marketing asset library, including photos, videos, and digital content. Keep the Club's master calendar current by working with department leaders to ensure timely event submissions. Administration & Club Operations Maintain and organize important Club documents, records, policies, and Standard Operating Procedures (SOPs). Support Board governance by assisting with elections, maintaining governance records, and organizing official documentation. Prepare reports, meeting materials, agendas, and meeting minutes. Coordinate staff training initiatives, including CPR and First Aid certifications. Provide administrative support to the General Manager and leadership team on special projects and operational initiatives. Documentation & Process Improvement Manage version control and distribution of policies, employee handbooks, and departmental procedures. Partner with department leaders to review, update, and improve operational documentation. Utilize AI-powered tools and technology to streamline documentation, improve workflows, and support continuous process improvement. Maintain organized digital and physical filing systems while ensuring staff have access to the most current documentation. Safety & Compliance Chair the Club's Safety Committee and coordinate monthly meetings. Organize annual safety training and maintain compliance with insurance and state certification requirements. Monitor adherence to established procedures and support a safe, well-organized work environment. Qualifications & Skills Exceptional attention to detail and accuracy in managing records, documents, and communications. Excellent written and verbal communication skills with the ability to communicate professionally at all levels of the organization. Strong organizational and time management skills, with the ability to prioritize competing tasks and consistently meet deadlines. Proficiency with Microsoft Office 365 and the ability to learn new software and technology quickly. Experience with SharePoint, website content management, or marketing platforms is a plus. Comfortable leveraging AI-powered tools to improve documentation, streamline workflows, and support operational efficiency. Ability to work independently while collaborating effectively with multiple departments. High level of professionalism, discretion, and confidentiality when handling sensitive information.
