Job Description

Administrative Coordinator Scheftic Construction LLC Scheftic Construction LLC is a growing high-end residential hardscape and outdoor construction company specializing in outdoor living spaces, retaining walls, patios, landscape construction, and premium customer experiences. We are seeking an organized, dependable, and proactive Administrative Coordinator to help support the day-to-day administrative and operational flow of the company. This role is ideal for someone who enjoys organization, communication, problem-solving, and helping systems run smoothly. The position will begin as a flexible part-time hybrid role with the opportunity to grow as the company continues to evolve. Primary Responsibilities Manage and organize company email communication Assist with scheduling estimates, meetings, and project coordination Maintain organized digital job files, documents, and project records Support proposal preparation and customer follow-up Help manage incoming calls, texts, emails, and customer communication in a professional and organized manner Coordinate routine communication with customers, vendors, and field staff Track project paperwork, change orders, and administrative tasks Help improve office organization and workflow systems Assist with document preparation, file management, and general office coordination Ideal Candidate Highly organized and detail-oriented Strong communication and follow-through skills Comfortable learning and using technology and digital file systems Able to manage multiple priorities calmly and efficiently Self-motivated and dependable Comfortable working independently while also collaborating closely with ownership Professional, trustworthy, and adaptable Experience in office administration, coordination, scheduling, customer service, or related organizational roles is preferred, but the right mindset and organizational ability are equally important. Position Details Part-time position (approximately 15-24 hours per week initially) Hybrid / flexible structure Some in-person work required Compensation based on experience Retirement contribution opportunities available About the Role This is not simply a traditional "assistant" position. The Administrative Coordinator will play an important role in helping the company build stronger systems, improve communication flow, and support continued growth. The role is expected to evolve over time into a broader office coordination and operational support position. Pay:
$19.00 - $28.00 per hour
