Hybrid (Some Days In Office / Some Days Remote) About the Role Our client, a growing non-skilled home care agency, is seeking a highly organized and compassionate Administrative Coordinator to support the day-to-day operations of the office. This individual will play a critical role in coordinating caregiver schedules, supporting clients and referral partners, maintaining accurate records, and assisting with billing and administrative functions. Both full-time and part-time opportunities are available , with a hybrid work schedule offering a combination of in-office and remote work after training. What You'll Do Coordinate caregiver schedules and client visits to ensure consistent, timely coverage while proactively resolving scheduling conflicts. Serve as a primary point of contact for clients, caregivers, referral sources, and internal staff, providing exceptional customer service and communication. Maintain accurate client and caregiver records, including scheduling updates, documentation, and confidential data entry. Manage Electronic Health Records (EHR), ensuring documentation is complete, accurate, and compliant with agency and regulatory standards. Assist with insurance verification, third-party billing, claim submission, and other administrative billing functions. Support accounts receivable and revenue cycle activities by tracking invoices, payments, and outstanding balances. Answer incoming phone calls professionally and respond promptly to client, caregiver, and referral inquiries. Collaborate with leadership to improve office efficiency, maintain compliance, and support daily operational needs. Assist with onboarding paperwork, general office administration, and other duties as assigned. What We're Looking For Previous administrative experience in home care, home health, hospice, healthcare, or a medical office preferred. Strong scheduling and coordination experience in a fast-paced environment. Experience working with Electronic Health Records (EHR) or healthcare software. Knowledge of Medicare, Medicaid, managed care, insurance verification, and healthcare billing processes is preferred. Proficiency with Microsoft Office Suite (Word, Excel, Outlook). Excellent organizational skills with the ability to prioritize multiple responsibilities simultaneously. Strong verbal and written communication skills. Professional phone etiquette and exceptional customer service skills. High attention to detail and accuracy with data entry and documentation. Ability to maintain confidentiality and handle sensitive healthcare information. Medical terminology knowledge is a plus.
