Administrative Portal Coordinator

Job Description

Position Summary We are seeking a highly organized and detail-oriented Administrative Portal Coordinator to support the day-to-day tasks of our company's client portal. This position will manage email correspondence, coordinate assignments, maintain accurate records, and ensure reviews are processed accurately and on time. Key Responsibilities Monitor and manage the centralized administrative mailbox and portal correspondence. Coordinate assignments between clients, appraisers, reviewers, and internal staff. Update order information and statuses. Assign and process reports, invoices, and related documents. Maintain accurate electronic files and shared-drive documentation. Monitor email logs and dashboards to ensure all client communications are addressed. Provide data and reports from the portal when requested. Follow up on outstanding and open items. Complete additional administrative tasks assigned by management. Ensure all work is completed accurately and according to established procedures. Qualifications Strong administrative and organizational skills. Excellent attention to detail and accuracy. Ability to manage a high volume of emails, assignments, and deadlines. Strong written and verbal communication skills. Ability to follow detailed procedures and consistently document completed work. Strong computer skills and ability to learn proprietary portals and software. Experience with Microsoft Office, databases, shared drives, and email systems preferred. Ability to work independently while collaborating effectively with a team. Strong problem-solving and follow-through skills. Ability to handle confidential information professionally. What Success Looks Like The successful candidate will ensure that every order is accurately tracked, every communication is properly routed, every required document is saved and enabled appropriately, and every workflow step is completed before an order is closed.
Pay:
$65,000.00 per year
