Job Type Hybrid Job Summary The Associate Service Business Administration Coordinator plays a vital role in supporting the Service Business Administration team by coordinating the end‑to‑end workflow of medical device repair activities and managing customer repair approvals. This position ensures that service requests are processed efficiently, documentation is accurate, and communication flows smoothly between customers, technicians, internal and external stakeholders. By maintaining operational alignment and upholding service standards, the coordinator helps drive timely repairs, and an exceptional customer experience across the service organization. Essential Functions Assist in the preparation and management of service repair estimates in global ERP system. Manage and track customer contact activity and ensure all correspondence is documented accurately. Process and track customer repair services, ensuring timely payments and quick turnaround time, with accurate record-keeping. Maintain and update customer and service records in the database, ensuring compliance with regulatory requirements. Collaborate with service teams to provide customer responses on repair inquiries. Respond to customer inquiries and provide excellent customer service. Provide administrative support for service-related projects and initiatives. Assist with generating data reports and reviewing accuracy. Assist in the development and implementation of administrative processes and procedures. Support the Service Business Administration Supervisor with various tasks as needed. Required/Preferred Education and Experience Associate's Degree Associate degree or equivalent in Business Administration or a related field. required 0-1 years of experience in an administrative role, preferably in medical device manufacturing or service organization. required Knowledge, Skills and Abilities Strong organizational and time management skills. Excellent communication and interpersonal skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Ability to work independently and as part of a team. Attention to detail and a high level of accuracy. Customer-focused with a proactive approach to problem-solving. Experience with service management software or CRM systems. Familiarity with medical device regulations and compliance standards.
