An Executive Administrative Coordinator (Regional Events & Partner Relations) is responsible for the administration and management of all events and Partner relations in their designated market (and other markets as needed) and support to the Regional President and Regional Vice President. Events include but not limited to; a morning breakfast (four to five times per year), an evening reception (four to five times per year), monthly roundtable meetings, quarterly business seminars, monthly orientations, luncheons, and other miscellaneous events. Responsibilities Include but are not limited to: General Administration General office management and support of the Regional President and Regional Vice President Maintaining Partner relationships to ensure market growth Thoroughly handle Accelerent/Website orientation with new Partner company Updating of all Regional Event Manager reports (i.e., checklists, market contact lists, end of the month reports), website, Partner files, monthly team scheduling forms Supporting the Regional President and Regional Vice President (setting and confirming appointments, printing materials, and assisting with any other duties assigned) Market Specific Event Manager Duties Serve Accelerent Partners Establish professional and courteous rapport with Partners Aid in making connections with the Partners Develop working relationships with all Partners and act as a liaison between Accelerent and Partners E-mail Accelerent Partners with Accelerent upcoming events Prepare materials for Accelerent Partner Orientations, Roundtables, Connection Meetings, and misc. events (will work in conjunction with Regional President and Regional Vice President) Phone interaction with Accelerent Partners to ensure Partners are getting in their RSVPs in a timely manner Ensure that Partners are utilizing Accelerent platform and have full understanding of program elements and the overall mission of Accelerent Partnership Help register Partners and guests for events Event Planning Manage all event checklists Schedule and oversee all events including, Breakfast Events, Evening Receptions, Roundtable Meetings, Connection Meetings, Executive Luncheons, Orientations, seminars, special events, and special meetings Plan food, location, times, and list/number of attendees for events Compose email invitations using templates and ensure selected Partners attend events Act as main liaison with the corporate office regarding Keynote Speakers/ Speakers Bureau for market. Must manage logistics, (i.e., reserve hotel rooms, arrange transportation, communication of event details to the Speaker/Speakers Bureau and corporate office) Create event programs, scripts, and agendas for events Review agreements from facility and other event vendors Work with Host Partner(s) for the Evening Reception Event Coordinate the Speakers (Emcee, Leadership/Sales Partner, Host(s), and Title Sponsor spokesperson) at the Breakfast event Website/CRM Information Maintain website and update CRM Update specific market pages and events on website Answer website questions Evening Reception & Breakfast Events Act as Accelerent representative at all Accelerent events Manage registration at both events Work directly with facility to go over all details for events (seating, numbers, food order, placement of signs, expo tables) Coordinate vendors (photographer, hotel, AV, speaker, car service, catering) Manage database for events Coordinate print or electronic materials (programs, table tents) and PP scrolling logos, PP agenda, invitations, and script Follow up calls/emails to Partners Set up/breakdown and work events
