Join The Homestead / Part 2 Kids Team At The Homestead and Part 2, we believe every interaction with a family matters. From registration and tuition questions to helping families navigate child care assistance, this position plays an essential role in ensuring families feel supported while helping our administrative systems run smoothly. We're looking for a highly organized, detail-oriented professional who enjoys solving problems, communicating with people, and managing complex administrative processes. Position Summary The Family Accounts & Administrative Coordinator serves as one of the primary points of contact for families regarding tuition, child care financial assistance, enrollment-related questions, and general administrative support. This position coordinates Vermont Child Care Financial Assistance Program (CCFAP) benefits, Universal Pre-K (Act 166) administration, parent account management, and a variety of administrative responsibilities that help keep our programs operating efficiently. Success in this role requires exceptional organization, strong communication skills, and the ability to manage multiple deadlines while maintaining accuracy. Primary ResponsibilitiesFamily Communication Serve as a primary contact for parent questions regarding tuition, payments, financial assistance, attendance, policies, and enrollment. Provide timely, friendly, and professional customer service. Communicate reminders regarding paperwork, deadlines, and required documentation. Build positive relationships with families through clear and proactive communication. CCFAP Coordination Monitor Child Care Financial Assistance Program (CCFAP) eligibility and certificates. Communicate with families regarding applications, renewals, and expiring benefits. Coordinate with the State of Vermont to ensure benefits remain active and accurate. Maintain accurate records and documentation. Universal Pre-K (Act 166) Coordinate Universal Pre-K tuition agreements. Prepare and submit invoices to participating school districts. Update family tuition balances based on Act 166 funding. Communicate with schools and families regarding Act 166 eligibility and payments. Administrative Responsibilities Maintain accurate family account information. Enter and manage data across multiple systems. Assist with enrollment administration and attendance-related questions. Support office operations through accurate record keeping and organization. Help improve administrative systems and workflows. Qualifications We're looking for someone who is: Highly organized and exceptionally detail-oriented Comfortable managing multiple priorities and deadlines A strong written and verbal communicator Friendly, patient, and professional with families Able to work independently while collaborating with a team Comfortable learning new software and online systems Proficient with Microsoft Office; strong Excel skills are preferred Experienced with data entry and administrative work Experience in education, child care, customer service, or office administration is preferred but not required.
