Job Description

Finance & Administrative Coordinator Full-time, year-round

• Hybrid — on-site in Redland 2 days/week About Us Knaus Berry Farm has been a South Florida institution since 1956. People drive from three counties and stand in line for our cinnamon rolls, milkshakes, and strawberries. We're open October through May, and the rest of the year we're growing, building, and getting ready to do it again. Under new ownership since 2025, we're investing seriously in the business while protecting what makes it special. This is a newly created role, and it's a foundational one — you'd be the first full-time finance hire we've made. The Role You'll own the day-to-day financial and administrative operations of the farm: paying vendors, processing payroll, keeping the books current, and making sure the paperwork behind a growing business is organized and accurate. You'll report to our Controller and work closely with our CEO and management team. This is a hybrid role. You'll work from home most days. When the farm is open, you will be at the farm about twice a week to check in, collect paperwork, and stay connected to what's happening. Your first few weeks will be mostly on-site so you can learn the business and meet the people whose names you'll see on every invoice.

What You'll Do:

Accounts Payable and Vendor Management Enter and code vendor invoices in QuickBooks Maintain vendor records, W-9s, insurance certificates, and payment terms Prepare payment runs for approval and track what's outstanding Resolve vendor questions and billing discrepancies Payroll Process payroll in Square, working from approved timesheets Maintain employee records, new hire paperwork, and onboarding documentation Support seasonal hiring ramp-up and coordinate with our HR consultant Bookkeeping Keep transactions coded and current in QuickBooks Assist with bank and credit card reconciliations Organize supporting documentation for the monthly close Help pull what our accounting firm needs at tax time Assist with manager and/or CEO in running month end inventory at the farm Administration Maintain organized digital records — contracts, leases, permits, licenses, insurance Track renewal dates and deadlines Support general office and administrative needs When necessary, do change/cash runs for the farm. Keep all government documents updated and work with CEO to make sure no issues with needed government documents or inspections. What We're Looking for: Required 2+ years in bookkeeping, accounts payable, office management, or similar Hands-on QuickBooks experience Genuinely comfortable with spreadsheets Accurate and organized — someone who notices when a number looks wrong Discreet with confidential payroll and financial information Proven ability to work independently and stay organized without daily supervision Able to be at the farm in Redland twice a week — reasonable commuting distance required Nice To Have Bilingual English/Spanish Square POS or Square Payroll experience Agriculture, food production, restaurant, or retail background Experience at a seasonal business Who Does Well Here You like owning things end to end. You'd rather ask a question than guess. You're comfortable being the person who knows where everything is, and you don't mind that some weeks in season are busier than others. Working mostly from home, you're disciplined about your own schedule and you communicate proactively rather than waiting to be checked on. How We Work This role prepares and enters payments but does not release them — approval and release stay with our CEO and CFO. That's a deliberate control, standard practice, and it protects you as much as it protects the company. We'll explain the whole framework during onboarding.
