This position manages the day-to-day administrative functions of the Chamber while proactively building relationships with members. With constantly developing new technology and the Chamber's CRM automating many routine processes, this role is expected to go beyond data entry and administration by actively helping members understand and utilize their Chamber benefits and partnering with the Executive Director to conceptualize new programs and events to benefit our members and help bring those programs and events to fruition. The ideal candidate enjoys people just as much as they enjoy organization. Key Responsibilities Member Experience & Engagement Serve as a friendly and responsive point of contact for Chamber members Welcome and onboard new members Conduct new-member follow-up and periodic member check-ins Help members understand and utilize their membership benefits Encourage members to participate in Chamber programs, events, promotional opportunities, and committees Identify members who have become less engaged and conduct proactive outreach Assist with membership retention and renewal efforts Identify member concerns, opportunities, and potential membership upgrades for follow-up by the Executive Director Membership Administration & CRM Maintain accurate member records in the Chamber CRM Process new memberships, renewals, membership changes, and updates Monitor membership invoices and follow established procedures for outstanding renewals Maintain accurate contact and business information Assist members with the Member Portal Monitor automated CRM processes and follow up when personal outreach is needed Produce membership, retention, engagement, and other reports as requested Member Visibility & Communications Coordinate new-member announcements and recognition Create, post and share social media content via Instagram and Facebook Help members utilize website listings, event calendars, job postings, and other promotional benefits Gather member news, photos, logos, and information for Chamber communications Create routine newsletters, email communications, website updates, and member communications Coordinate ribbon cutting requests and other member recognition opportunities Maintain calendars and deadlines for recurring Chamber communications Administrative Support Respond to general Chamber phone calls and emails Maintain office files, records, forms, and supplies Assist with invoicing, payment processing, and basic financial administration Maintain organizational calendars and recurring administrative deadlines Provide administrative support to the Executive Director Assist with Board and committee materials as directed Provide registration or check-in support at Chamber events Create slide decks and collateral for member meetings and board meetings Website Maintenance and Webpage Creation Other duties as requested or required by the Executive Director or Staff Lead Qualifications Exceptional customer service and relationship-building skills Strong written and verbal communication Highly organized with excellent attention to detail Comfortable making phone calls and initiating conversations with members Ability to learn and confidently use CRM and membership-management technology Comfortable with email marketing, spreadsheets, websites, and standard office technology Ability to prioritize multiple responsibilities and work independently Experience in customer service, membership organizations, hospitality, nonprofit administration, sales support, or community engagement preferred Ability to lift, carry, push or pull objects weighing up to 50lbs, also requires frequent bending, stooping, twisting, crouching and reaching, and the ability to sit or stand for extended periods ChamberMate, Canva, Adobe, Google Workspace, and Microsoft Office Suite experience a plus Ideal Candidate The ideal Membership & Administrative Coordinator genuinely enjoys connecting with people. They notice when a new member hasn't attended an event, remember to follow up after a ribbon cutting, and look for ways to help businesses get more value from their membership. At the same time, they are highly organized and can be trusted to keep membership records, administrative processes, and deadlines accurate and current. Pay:
$23.00 - $25.00 per hour Expected hours: 20.0 - 25.0 per week
