CSEA provides professional development, networking opportunities, research, and resources to approximately 700-800 members representing more than 200 organizations worldwide. Programs include three annual conferences in the U.S., Europe, and Asia; webinars and other virtual events; research; and resources related to employment data reporting. CSEA operates with a small, primarily virtual staff supported by a volunteer Board of Directors and committees. Position Information CSEA seeks a highly organized, detail-oriented Executive Assistant to provide administrative, membership, and event support to our global professional association. Working closely with the Executive Director and other members of our virtual team, the Executive Assistant will play an important role in supporting CSEA's daily operations, assisting members, coordinating event registration, and providing administrative and technical support for virtual and in-person events. The ideal candidate is a proactive problem-solver who enjoys working independently, is comfortable learning new technology, and can manage multiple responsibilities while providing excellent customer service. This position reports directly to the Executive Director.
Position Details Schedule:
This is a part-time position averaging approximately 20 hours per week. Hours may increase to approximately 30 per week during peak periods, typically March through June. July through September, hours will likely decrease below 20 per week. Work hours are flexible and will be established in coordination with the Executive Director. The employee is expected to maintain regular availability during U.S. business hours, Monday through Friday, to support member communications, meetings, and scheduled events. Typically, a response time of 24 hours is needed for member inquiries. Occasional early-morning or evening work may be required to support international events.
Location:
This is a primarily remote position, with required travel to CSEA's annual U.S. conference in June. Candidates located in North or Central Florida are preferred to accommodate occasional in-person meetings with the Executive Director.
Compensation:
$26,000 per year.

Job Duties Membership Administration Serve as a primary point of contact for member inquiries, providing timely, professional assistance via email and other communication channels. Assist members with account access, password resets, membership transfers, and general membership questions. Maintain accurate membership records, including performing routine database maintenance. Generate and archive membership reports as needed. Identify and resolve membership-related issues, referring complex questions to the Executive Director or other appropriate staff members. Event Registration and Conference Support Create, update, and maintain event registration forms using CSEA's event management platform. Respond to attendee inquiries and assist with registration questions, changes, cancellations, and transfers. Regularly review registration records to identify and resolve discrepancies and maintain accurate attendee information. Prepare registration materials and assist with other administrative tasks related to CSEA events. Manage on-site registration operations at CSEA's annual U.S. conference, including coordinating registration volunteers, overseeing attendee check-in, distributing registration materials, and resolving registration-related issues. Create and update presentation slides and other materials used during conferences. Virtual Event and Technology Support Set up and manage virtual event platforms for webinars and other online programs. Troubleshoot technical problems for larger virtual events. Create, organize, and archive recordings of virtual events. General Administrative Support Provide administrative support to the Executive Director, including data entry, document preparation, and other assigned projects. Participate in virtual staff and committee meetings as needed. Maintain accurate documentation of assigned responsibilities and procedures to support operational consistency and continuity. Participate in training activities necessary to perform assigned responsibilities effectively. Assist with other administrative and operational responsibilities as assigned, consistent with the scope of the position. Required Qualifications Experience in an administrative, customer service, membership support, or event coordination role. Excellent organizational skills, strong attention to detail, and the ability to manage multiple responsibilities and deadlines. Strong written and verbal communication skills, including the ability to communicate professionally and effectively via email. Proficiency with Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook. Strong technical aptitude and the ability to learn and work effectively with new software and online platforms. Ability to troubleshoot routine technical issues and coordinate with technical support teams when needed. Ability to work independently, take initiative, and exercise sound judgment in a remote work environment. Strong customer service skills and the ability to interact professionally with members, volunteers, and colleagues. Ability to adapt to changing priorities and manage time effectively during periods of increased activity. Ability to maintain confidentiality when handling member information and organizational records. Preferred Qualifications Previous experience working for a professional association, nonprofit organization, or membership-based organization. Experience using association management systems, membership databases, or event registration platforms. Experience working with geographically dispersed teams or supporting international events.
