Job Description

Client Overview:
Our client is a well-established academic and professional organization seeking an Administrative Coordinator to support a collaborative department serving senior leadership, faculty, staff, and students.
Salary/Hourly Rate:
$25/hr
Position Overview:
The Administrative Coordinator will provide executive-level administrative support to a Director and senior leadership team while assisting with general office operations, events, purchasing, expenses, facilities coordination, and space management. The ideal candidate is highly organized, professional, and able to work independently while exercising sound judgment and managing multiple priorities in a fast-paced environment. Responsibilities of the
Administrative Coordinator:
Manage calendars, appointments, travel arrangements, and reimbursements for senior leadership. Provide administrative and executive support to the Director, leadership team, and department. Coordinate meetings and events, including room reservations, catering, scheduling, and logistics. Support events involving faculty, staff, students, and other stakeholders. Process expenses, reimbursements, purchasing requests, and office supply orders. Coordinate building access, room access, and other space-related needs. Maintain organized files, records, and administrative documentation. Prepare and edit correspondence, reports, presentations, spreadsheets, tables, and other materials. Research and independently resolve routine administrative issues when appropriate. Provide general clerical and office support and ensure day-to-day administrative needs are handled efficiently. Required Experience/Skills for the
Administrative Coordinator:
3-5+ years of administrative, clerical, or Executive Assistant experience. Previous experience independently supporting a senior leader or executive. Strong Microsoft Office skills, particularly Word, PowerPoint, Excel, and Outlook. Excellent organizational, communication, and interpersonal skills. Ability to manage multiple priorities and deadlines effectively. Strong judgment, discretion, reliability, and professionalism. Ability to take ownership of responsibilities while recognizing when issues should be escalated. Preferred Experience/Skills for the
Administrative Coordinator:
Google Workspace experience. Experience with project management tools. Experience with purchasing, financial administration, expense processing, facilities coordination, or event planning. Previous experience in an academic or professional office environment.
Education Requirements:
Bachelor's degree required.
