Office Assistant Responsibilities:
Answering all incoming calls, responding to intake calls and directing to the appropriate person; while explaining services offered by the agency. Check messages and distribute to appropriate person/department Assist in collecting all employee service sheets every week Assist in collecting and maintaining all required documents for new employees and clients Assist in client and employee scheduling as needed Follow up with new & existing clients and new employees as needed Confirm next day interviews and/or client meetings Creating/printing/copying/faxing/filing documents, reports, and marketing materials Developing, maintaining, and updating computer and manual filing systems Updating and ensuring the accuracy of any databases, contact lists or agency documents Responsible for putting together application packets, orientation packets, new client packets, etc. Monitoring, purchasing, and storing office supplies Assist with timesheet collection and vendor billing as needed Maintain strictest confidentiality.
EMPLOYEE SERVICES
Coordinate and prepare for new employee orientation including verifying credentials, references and conducting criminal background checks Prepare new hire paperwork including equipment requests and working with Office Manager to have all tools ready for new hires Coordinate and assisting with new hire orientation Maintain and conduct monthly/quarterly audits on Employee files to ensure all documents are within the file and updated. Maintain all employee personnel files by ensuring credentials are in compliance with local, state ( DHEC & Medicaid/Medicare ) and federal guidelines (professional license, CPR, auto insurance, social security and EMR), notify and give reviews to directors and supervisors Communicate between patients and staff members when scheduling visits Fax/Copy Referrals, Intake, Assessment and Evaluation information for appropriate field staff who request them Verify and post paper notes into scheduling software. Run daily, weekly and as needed reports and follow up with field staff to make sure all visits are addressed, accepted, scheduled and verified Respond professionally to agency and patient needs Communicate to field staff and Administration of all hospitalizations, on-holds, if the patient is discharged and/or declining services. Send Administrator and clinical staff productivity for preceding week
