About the Position Bent Oak Landscaping is seeking a dependable, highly organized Administrative & Operations Coordinator to support our owner and management team. This position is ideal for someone who enjoys organizing information, coordinating multiple priorities, communicating professionally, and making sure important tasks do not fall through the cracks. You will help manage the company's daily administrative responsibilities, customer and property records, billing documentation, compliance information, fleet records, and internal systems. This is an office and coordination position—not a field crew management role. Primary Responsibilities Answer and route company phone calls. Monitor the company's main email account. Respond to routine customer and vendor questions. Track messages, deadlines, and follow-up items. Maintain organized customer, property, contract, and contact information. Route customer service requests to the appropriate manager. Assist with customer onboarding and document organization. Maintain calendars and help schedule meetings. Prepare documents, spreadsheets, reports, and forms. Prepare and organize information needed for customer invoicing. Track completed work that is ready to be invoiced. Maintain supporting billing documentation. Organize vendor records, invoices, receipts, and purchasing documents. Maintain certificates of insurance, W-9s, registrations, and compliance records. Track important expiration and renewal dates. Maintain vehicle and equipment records, including registrations, insurance, service, repairs, and assignments. Help create and maintain checklists, forms, procedures, and standard operating procedures. Keep digital company files organized and current. Prepare administrative reports and information for management. Follow up on assignments from management meetings. Reporting Structure This position reports directly to the Owner and works closely with operations management, supervisors, customers, vendors, subcontractors, and the company's bookkeeper or CPA.
