We're looking for a friendly, organized, and dependable Administrative Manager to support our team, help keep daily operations running smoothly, and create a positive experience for our clients and families. Position Summary The Administrative Manager oversees the daily administrative and operational functions of our clinic, helping ensure that business, clinical, and administrative activities run efficiently. This role works closely with clinical leadership, staff, families, and external partners to support high-quality services and a positive clinic environment. Key ResponsibilitiesOperations & Administration Oversee daily clinic operations, including scheduling, intake, billing coordination, and office management. Implement and monitor office policies, procedures, and compliance requirements. Coordinate with vendors, landlords, and service providers to address facility and operational needs. Help ensure the clinic runs efficiently and maintains an organized, professional environment. Staff Management Supervise and support administrative and front-desk staff. Assist with onboarding, training, and compliance processes in coordination with HR. Monitor staff performance, provide feedback, and assist with scheduling and administrative support. Client & Family Support Oversee client intake and enrollment processes. Communicate with families regarding services, scheduling, and clinic policies. Support clinical staff in maintaining HIPAA compliance and insurance-related documentation. Financial & Compliance Oversight Work with billing and accounting to support payroll accuracy and expense tracking. Monitor insurance authorizations, renewals, and required documentation. Help ensure compliance with applicable state regulations, BACB guidelines, and payer requirements. Process Improvement & Growth Evaluate administrative workflows and recommend improvements. Assist leadership with clinic growth, staffing needs, and development of new programs. Qualifications At least 2 years of experience in office management, business administration, or healthcare operations; ABA or therapy experience preferred. Knowledge of healthcare compliance, insurance billing, and HR procedures. Strong communication, leadership, organizational, and problem-solving skills. Proficiency with practice management or scheduling software and Microsoft Office or Google Workspace. Bachelor's degree preferred.
