Administrative Assistant/Claim Coordinator

Job Description

Job Overview We are seeking a dynamic and highly organized Administrative Assistant/Claim Coordinator to join our team! This vital role combines administrative excellence with claim coordination responsibilities for our repair team, ensuring smooth office operations and efficient handling of claims processes. You will be the backbone of our general contracting administrative functions, providing exceptional support to staff and clients alike. Your energetic approach and attention to detail will help foster a positive, productive environment where every task is completed with precision and enthusiasm.

Duties and Responsibilities
  • Handle incoming phone calls, as needed
  • Record all incoming jobs, upload into database and assist with dispatching project managers
  • Speak directly with customers, insurance agents, and adjusters regarding files
  • Update DASH, XactAnalysis, and Luxor Databases
  • Use and maintain QuickBooks daily
  • Work with repair team on contracts, change orders, etc., throughout each job
  • Collect necessary paperwork upon job completion
  • Invoice customers and from time to time, help collect on accounts received
  • Record and format weekly status reports and quarterly reports
  • Create and upload regular marketing/social media posts, as needed
  • Complete weekly expense report review
  • Daily follow ups with repair team regarding payment collection, job notes & job status
  • Daily updating of third party administrator sites/platforms with job information Minimum Job Requirements
  • Proficient in Google Suite, QuickBooks and Adobe
  • Ability to handle multiple tasks at one time
  • Organized and able to prioritize time efficiently and effectively
  • Ability to directly speak with customers handling sensitive circumstances
  • Excellent customer service skills
  • Interact professionally and communicate clearly with customers, insurance
  • agents, adjusters, and Third-Party Administrators
  • Should have excellent written and verbal communication skills.
  • Previous experience in insurance or construction preferred.
  • High school diploma or GED Working Conditions and Physical Effort
  • Climate controlled office setting
  • Ability to lift 15-35 lbs. occasionally
  • Ability to work flexible hours and flexible shifts based on business needs.

Full-time Pay:
$23.00 - $24.00 per hour Expected hours: 40.0 per week
