The Administrative Operations Coordinator provides administrative and operational support to the Organization's Directors, primarily the Director of Operations. The position coordinates assigned projects, communications, records, meetings, events, and follow-up activities across the Organization. This position is well suited for someone who enjoys organizing information, supporting multiple leaders, tracking details, communicating with different groups, and helping projects move from planning through completion. The successful candidate must be comfortable working in a collaborative, mission-driven environment that serves children, families, church members, employees, volunteers, donors, vendors, and community partners. The position reports directly to the Director of Operations and may also receive work direction from the Senior Pastor, Director of Worship, Director of Early Childhood Ministries, and Director of Student Ministries regarding matters within their respective areas of responsibility. Primary Responsibilities Administrative and Operational Support Assist the Director of Operations with assigned initiatives, projects, schedules, correspondence, records, and follow-up. Maintain project trackers, task lists, spreadsheets, shared documents, calendars, reports, and other administrative tools. Prepare meeting agendas, packets, reports, presentations, notes, and follow-up documentation. Schedule and attend meetings as requested. Perform administrative research, data collection, document preparation, filing, records organization, and organizational reporting. Assist with vendor communication, document collection, scheduling, service coordination, and administrative follow-up. Assist with accreditation documentation, grant research and tracking, enrollment reporting, and other organizational initiatives. Maintain accurate and organized electronic and physical records. Cross-Departmental Support Provide administrative assistance to the Senior Pastor, Director of Worship, Director of Student Ministries, and Director of Early Childhood Ministries. Coordinate routine information, documentation, scheduling, and follow-up among Directors, administrative employees, teachers, ministry leaders, and other organizational participants. Assist Directors with departmental calendars, forms, reports, correspondence, meetings, and project documentation. Support accreditation activities, assessment proctoring, student and family communications, field-trip administration, master-schedule development, and similar school functions. Assist with ProCare administration, student billing support, routine account inquiries, enrollment tracking, reporting, and related administrative functions within assigned responsibilities. Provide office coverage and general administrative assistance when assigned. Communications and Event Support Draft, prepare, and coordinate the distribution of approved announcements, correspondence, newsletters, notices, forms, emails, text messages, printed materials, and other public-facing communications. Prepare basic flyers, presentation slides, handouts, donor acknowledgments, fundraising communications, ministry communications, family communications, and related materials using approved templates. Maintain communication calendars, distribution lists, templates, archives, event records, and related documentation. Assist with event and project planning, including facility coordination, participant and volunteer communication, supply tracking, logistical preparation, and administrative follow-up. Support assigned church, school, ministry, fundraising, and community events. Complete post-event records, acknowledgments, documentation, and follow-up. Follow established organizational branding, messaging, approval, confidentiality, and communication standards. Work occasional evening or weekend events and meetings when scheduled. Proficiency with computers, standard office software, spreadsheets, shared documents, calendars, email, and communication platforms. The ability and willingness to learn organizational systems, including ProCare and other administrative platforms. Professional conduct consistent with the Christian mission of First Presbyterian Church & School. Minimum Qualifications High school diploma or equivalent. Previous administrative, office, project-coordination, communications, or closely related experience. Demonstrated proficiency with standard computer and office applications. Strong written communication, proofreading, recordkeeping, and organizational skills. Ability to work effectively and professionally with children, families, employees, volunteers, church members, vendors, and members of the public. Ability to maintain confidentiality and safeguard sensitive organizational information. Ability to successfully complete all required background checks and employment screening. Preferred Qualifications Associate's or bachelor's degree in business administration, communications, nonprofit management, education administration, or a related field. Two or more years of administrative or project-coordination experience. Experience working in a school, church, nonprofit, ministry, or community-service organization. Experience coordinating organizational communications, meetings, projects, or events. Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook. Experience using Google Drive, Google Docs, Google Sheets, Google Calendar, and other Google Workspace applications. Familiarity with artificial intelligence tools and their appropriate use for administrative research, drafting, communication, organization, and workflow support. Experience with student-management, customer-management, billing, enrollment, or records systems. Experience with ProCare or similar administrative software. Physical and Scheduling Requirements Ability to communicate effectively in person, by telephone, and through written and electronic communication. Ability to use computers and standard office equipment for extended periods. Ability to move throughout the campus and assist with church, school, ministry, and community events. Ability to lift and carry up to 25 pounds. Ability to occasionally bend, stoop, kneel, and reach. Ability to remain seated or standing for extended periods. Ability to work occasional evening or weekend meetings, events, or special assignments when scheduled.
