JOB SUMMARY
We are seeking a dynamic and organized individual to join our financial services company as an Administrative Coordinator.
RESPONSIBILITIES
This position will start out with 20-25 hours per week and expands into full time. In addition, it does require 1-2 nights per month assisting with seminars check ins. From 5-9 pm in Fall and Spring. Create seminar folders for company events. Prepare discovery meeting folders with required materials. Contact customers directly to gather needed details for seminars and meetings. e Conduct customer calls and follow-up calls to obtain additional information. No cold calling is required.
CRM MANAGEMENT
Input customer information into the company CRM system. Maintain accurate and up-to-date customer records.
POST-EVENT PROCEDURES
Update post-discovery meeting details, including activities in CRM, sending thankyou emails, selecting packages, sending invoices, and welcome emails.
CUSTOMER INTERACTION
' Manage RSVP calls and customer communications. Respond to messages from clients promptly.
DOCUMENTATION AND ORGANIZATION
File customer folders systematically for easy retrieval. Keep electronic and physical records organized and accurate.
SEMINAR BOOKINGS
Research, Coordinate and reserve libraries and Community Colleges for company seminars.
QUALIFICATIONS
e 2-5 years of office management or administrative support roles. Proficiency in using CRM systems, PowerPoint and office software. Ability to handle customer interactions with professionalism and courtesy.
ADDITIONAL SKILLS
(PREFERRED): Two-Five years of relevant work experience. Strong communication skills, both written and verbal. Excellent organizational and multitasking abilities. Familiarity with financial services terminology and processes. QuickBooks / Bookkeeping experience a plus. Part-time leading to full time. 0 1099 position
