Position Purpose The Backup Administrative Coordinator supports the Administrative Coordinator and store leadership team by assisting with payroll, scheduling, hiring administration, employee records, training coordination, reporting, and other administrative functions. This position helps ensure accurate and timely execution of store administrative processes while maintaining confidentiality, professionalism, and compliance with company policies. Key Responsibilities Administrative Support Assist with daily administrative and office functions. Provide support to store leadership with reports, documentation, and communications. Maintain accurate employee, payroll, training, and operational records. Organize and maintain administrative files and documentation. Handle confidential employee and business information appropriately. Provide backup coverage for the Administrative Coordinator as needed. Payroll and Timekeeping Assist with payroll processing and timekeeping activities. Review employee time records for accuracy and identify discrepancies. Support correction of payroll and timekeeping issues. Assist associates with basic payroll, scheduling, and timekeeping questions. Ensure required payroll activities are completed accurately and within established timelines. Recruitment and Onboarding Support recruitment and hiring activities. Assist with candidate communication and interview scheduling. Help coordinate new hire onboarding and orientation. Ensure required hiring and onboarding documentation is completed accurately. Help create a welcoming and professional Day 1 experience for new associates. Support new hires throughout the onboarding process. Training and Associate Support Assist with coordinating required associate training and eLearning. Monitor training completion and follow up on outstanding requirements. Help associates access required training resources and systems. Support store leadership with training documentation and compliance tracking. Communicate training requirements and deadlines to associates and department leadership. Communication and Recordkeeping Prepare and distribute store communications, notices, and reports. Maintain personnel, training, payroll, and compliance records. Assist with data entry and routine reporting. Ensure documentation is accurate, organized, and readily accessible. Maintain appropriate confidentiality when handling associate information. Customer and Associate Service Provide professional and courteous assistance to associates, applicants, and visitors. Help answer associate questions and direct concerns to the appropriate resource. Support a positive and welcoming store environment. Serve as a professional representative of store leadership and the company. Management Support Provide administrative support to store leadership as needed. Assist with special projects, meetings, communications, and operational initiatives. Identify administrative issues and communicate concerns to appropriate leadership. Assume Administrative Coordinator responsibilities when providing backup coverage. Perform additional duties as assigned based on store and business needs.
