In this vital role, you will serve as the central hub for office management, client communication, and administrative support, ensuring smooth daily operations. Your energetic approach and organizational expertise will help streamline processes, support field teams, and enhance customer service experiences. This position offers an exciting opportunity to contribute to a fast-paced environment where efficiency and professionalism drive success. Responsibilities Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy. Coordinate scheduling, calendar management, and appointment setting for technicians and clients using Microsoft Office tools. Handle bookkeeping tasks utilizing QuickBooks, including invoicing, billing, and tracking payments. Maintain accurate data entry records, filing systems, and documentation for project files, service reports, and client information. Support office management duties such as supply ordering, maintaining confidential information securely, and overseeing clerical tasks like proofreading and document preparation. Provide exceptional customer service by responding promptly to client inquiries via phone or email while maintaining excellent phone etiquette. Assist with personal assistant responsibilities when needed, including time management support for team members and organizing meetings or events. Experience Previous office experience in a professional environment with a focus on administrative or clerical duties. Proven experience managing multi-line phone systems and front desk responsibilities. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and QuickBooks accounting software. Bilingual skills are highly desirable to effectively communicate with diverse clients and team members. Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting. Experience handling confidential information with discretion and professionalism. Excellent customer service skills coupled with effective phone communication and etiquette. Personal assistant or office management experience is a plus to support daily operations seamlessly.
