Job Description

We are looking for an experienced and dependable Administrative Coordinator / Front Desk specialist to support daily office operations in San Antonio, Texas. This Long-term Contract position is ideal for someone who enjoys being the first point of contact for visitors while keeping administrative processes organized and running smoothly in a fast-paced manufacturing setting. The role requires strong communication, sound judgment, and the ability to manage multiple priorities with accuracy and care.
Responsibilities:
  • Welcome guests, clients, and suppliers in a courteous manner and ensure a welcoming front desk experience from arrival to departure.
  • Handle incoming calls, mail, shipments, and office deliveries while directing information and materials to the appropriate contacts.
  • Maintain organized digital and paper records, ensuring documentation is current, accessible, and filed accurately.
  • Enter, update, and verify information in internal databases and tracking tools with a high degree of precision.
  • Coordinate calendars, meetings, and appointments for team members and departments to support efficient daily operations.
  • Assist with employee attendance records, timekeeping updates, and administrative support related to personnel documentation.
  • Prepare routine reports, spreadsheets, correspondence, and other office materials as requested by leadership or department staff.
  • Monitor office supply levels, place orders as needed, and help keep reception and shared office areas neat and business-ready.
  • Provide general administrative support for special projects and day-to-day office needs while maintaining confidentiality of sensitive company and employee information.
