Bookkeeper / Administrative Coordinator

Position Overview We are seeking a Bookkeeper / Administrative Coordinator to join our team. Bookkeeping and accounting support will be the primary focus of this position. The role will also provide administrative support for several employee and HR-related functions. We are open to candidates with different levels of experience and are willing to shape the position around the right person. A strong candidate may have bookkeeping or accounting experience, or may be a highly organized, detail-oriented individual with strong administrative skills and the ability and willingness to learn. The position may be part-time or full-time , depending on the candidate's experience, capabilities, interests, and availability. Primary Bookkeeping Responsibilities Initial responsibilities will include daily accounts payable and accounts receivable processing, preparation of weekly customer statements, and follow-up on past-due accounts. The employee will learn and follow our established accounting procedures and workflows between QuickBooks and our Management Information System (MIS). Depending on experience and ability, responsibilities may also include or expand to include: Bank and credit card reconciliations Posting and reviewing journal entries Payroll entry and/or review Sales tax reporting and filing Maintaining general ledger records Assisting with month-end accounting procedures and financial reporting Working with our CPA firm as needed for year-end review and tax preparation Employee Administration & HR Coordination This position will also assist management with employee administration. Previous HR experience is helpful but not required .
Responsibilities may include:
Coordinating employee onboarding and offboarding, including new-hire packets and employment forms Issuing and reclaiming keys/security credentials and maintaining related records Maintaining organized and confidential employee records Coordinating with managers to develop and maintain employee job descriptions Coordinating the performance review process, including schedules, forms, and follow-up Maintaining employee benefit and payroll deduction records and periodically verifying this information with employees Maintaining employee skills, competencies, backup coverage, and succession-planning records Maintaining health and safety training records and coordinating training with our outside safety consultant Assisting management with other employee-related administrative projects as needed Management will remain responsible for HR policy, employee management decisions, performance evaluations, and succession planning. This position will primarily coordinate, document, and administer these processes. Qualifications Strong attention to detail, accuracy, and organizational skills Comfortable working with numbers, Excel spreadsheets, records, and documentation Good general computer skills and ability to learn new software and workflows Ability and willingness to learn AP, AR, customer statement, and collection procedures Professional communication skills, including communicating with customers regarding account balances and past-due invoices Dependable and able to manage recurring responsibilities and follow established procedures Ability to maintain confidentiality of financial and employee information Willingness to learn from and work closely with our current bookkeeper Preferred Qualifications The following experience is helpful but not required: Previous bookkeeping, accounting support, or office administration experience Experience with QuickBooks, accounts payable/receivable, or payroll Basic understanding of accounting principles Small-business or manufacturing experience Employee administration, HR recordkeeping, or benefits experience Education & Employment Requirements High school diploma required Associate's or bachelor's degree in accounting, finance, business administration, or a related field preferred Previous employment references requested Schedule & Compensation We have flexibility in structuring this position and are interested in finding the right person rather than requiring a specific schedule or level of experience. The position may be part-time or full-time. Some flexibility in schedule and work arrangement may be available depending on the candidate and the needs of the position. Responsibilities and compensation will be based on the candidate's experience, capabilities, and the scope of the position ultimately agreed upon.
Pay:
$20.00 - $25.00 per hour Expected hours: 20.0 - 40.0 per week
