About the Role The Administrative Coordinator serves as the first point of contact for current and prospective clients, and provides comprehensive, multi-disciplinary support to the Managing Partner, Office Administrator, Sr. Paralegal, and all staff members. This is a true "Swiss Army knife" role: no two days look exactly alike, and the person who thrives here is someone who can move fluidly between answering phones, greeting clients, managing social media campaigns, and coordinating non-profit events. The role spans reception, administrative support, non-profit and event management, marketing, client relations, data reporting, and litigation calendar coordination. Because the responsibilities are so varied, we're looking for a genuine team player: someone who can identify what needs to happen next, confirm it with the right person, and follow through—without needing every task spelled out in advance. Above all, this role requires a warm, friendly demeanor. As the voice and face of the firm for many callers and visitors, the Administrative Coordinator sets the tone for how clients experience Weiner, Spivey & Miller, PLC from their very first interaction. What You'll Do Answer and route incoming calls with a calm, professional, and friendly manner, including fast hand-off of new/prospective client calls to intake. Greet clients and guests and keep common areas and supplies organized and stocked. Support the Managing Partner with correspondence, mailings, and court filings. Plan and help execute firm-sponsored non-profit events, including Jazz4Justice, and "Law Day." Coordinate with our marketing/website vendor and manage social media content, advertising campaigns, and attorney blog contributions. Provide ad hoc support on discrete case tasks ( e.g. , organizing lien resolution documentation, preparing trial binders, inputting calendar events related to cases) as assigned. What You'll Bring Advanced proficiency with Microsoft Office (Word, Excel, Outlook), including the organizational, data-handling, and written-communication skills that come with it. Working knowledge of, or ability to quickly learn, email marketing platforms ( e.g. , Mailchimp) as well as legal case management software ( i.e. , CasePeer). Basic photo/video editing and graphic design skills for social media and advertising content, including experience with graphic design software such as Canva. Strong verbal and written communication skills, with a friendly, calm, and professional phone and in-person manner. Excellent organizational skills and follow-through, with the ability to independently identify next steps, validate them with the team, and see tasks through to completion. Comfort managing multiple concurrent priorities across very different types of work without losing accuracy or attention to detail. A collaborative, team-first attitude and the flexibility to shift between tasks as the day's needs change. Discretion and sound judgment in handling confidential client and case information. Reliability and punctuality, given the role's importance to daily office operations. Minimum Qualifications Minimum 1-2 years of experience in an office, legal, or customer-facing environment. Proficiency in Microsoft Office Suite. Available to work in-office, Monday through Friday, 9:00 AM-5:00 PM.
