Administrative Coordinator Our client, My Tax Pilot , is seeking an organized, proactive Administrative Coordinator to join its small, client-focused, and well-established tax firm. This role supports firm leadership, manages client communications, and helps oversee daily office operations. The ideal candidate enjoys hands-on administrative work, takes initiative, and can help keep a fast-paced professional office running smoothly. Key Responsibilities Communicate professionally with clients, answer questions, provide follow-up, and support clients throughout the tax-preparation process. Collect, organize, and prepare client documentation for tax services. Coordinate schedules, appointments, and deadlines for firm leadership and team members. Provide backup support for front-office operations, including phones, email, and client intake. Assist with financial processes such as reconciling deposits and completing basic QuickBooks tasks. Maintain organized digital and paper filing systems. Support leadership with special projects, reporting, and process improvements. Depending on experience and ability, assist with bookkeeping, higher-level administrative responsibilities, and additional projects during slower periods. Qualifications Three to five years of administrative, office coordination, or executive assistant experience. Experience in a professional services, tax, or accounting firm is a plus. Excellent written and verbal communication skills. Strong organizational skills and attention to detail. Outgoing, proactive, and comfortable interacting with clients and team members. Ability to manage multiple priorities, work independently, and meet deadlines. Proficiency in Microsoft Office and general office software. QuickBooks or bookkeeping experience is preferred but not required. Schedule and Position Details In-person position. The position will begin at 20 hours per week. Hours may increase to 30 hours per week as the employee becomes familiar with the firm and takes on additional responsibilities. During the firm's busy season, generally January through June, the position may increase to 40 hours per week. Candidates who prefer to cap their schedule at 30 hours per week may also be considered. Hours will generally be lower during the second half of the year, with potential summer flexibility for candidates with school-aged children. Starting compensation is $23-$25 per hour, based on experience. Higher compensation may be available for an employee who successfully takes on bookkeeping, advanced administrative responsibilities, or additional projects.
