The Administrative/Enrollment Coordinator provides administrative and operational support to the Center Management Team and ECEAP center. This position works closely with the Enrollment Team to ensure a smooth transition for families from the enrollment process into the centers, including coordinating parent tours, orientations, and ongoing communication with families. The Administrative/Enrollment Coordinator supports the Center Manager in coordinating site activities at East Wenatchee. This role maintains site files, assists with training documentation, and supports USDA and Human Resources functions related to staff training and compliance. Through organization and communication, this position helps ensure efficient center operations and a positive experience for children and families.
Responsibilities:
1. Provide courteous and professional responses to telephone and on-site requests for information from community, parent, and site personnel. 2. Directs visitors by maintaining employee and department directories. 3. Act in a manner that displays the utmost confidentiality and respect of staff, families and children. 4. Ability to effectively manage change and prioritize multiple demands. 5. Coordinate with the Enrollment Team and Center Management to support the transition of families from enrollment into the centers, including scheduling and assisting with parent tours, orientations, and ongoing communication with families. 6. Serve as a liaison between the Enrollment Team and center staff to support timely placement of children, ensure enrollment information is communicated to centers, and assist families with questions related to enrollment, center expectations, and program orientation. 7. Assists the Center Manager with the leadership and supervision of site activities. 8. In absence of the Center Manager (s) will function as the site supervisor. 9. Ability to work cooperatively and function within a team-oriented environment. 10. Experience and ability to courteously be responsive to requests from staff. 11. Support the ECEAP Center Managers as needed with center related needs. 12. Help organize parent and staff meetings and family nights. 13. Provide administrative/office support to EPIC Place to include copier projects, mail handling, and necessary internal and external communications in absence of the receptionist. 14. Provide administrative support for ECEAP staff training. 15. Participate in ECEAP plan for ongoing program monitoring and self-assessment activities, to determine program trends or issues and strategize to ensure completion of follow-up. 16. Arrange for necessary translation and interpretation services as directed. 17. Assist HR to track, collect and maintain staff training during pre-service and new hire orientation. 18. Provide support in the preparation and compilation of the parent handbook, office supply ordering, parent announcements and mailings. 19. Monitor visitors sign in/out records. 20. Perform other duties and special projects as assigned by the Associate Director or ECEAP Center Management Team. 21. Report policy violations and/or unprofessional behavior to supervisor in a timely manner in accordance with EPIC's policies/procedures and with WACs. 22. Help maintain EPIC's emergency phone line with accurate and current information regarding school closures. 23. Demonstrate a commitment to safety in our centers, playgrounds, buses, and any environment where children are present. Remain attentive to potential concerns and actively support EPIC's Speak Up, Speak Out approach by promptly addressing and reporting safety issues.

Prior to employment, complete, Tb skin test by an EPIC approved healthcare provider at no cost to the employee. Pre-employment basic physical by an EPIC healthcare provider (obtain within (30) days of employment and no cost to the employee). Must pass an initial and periodic background check through the Washington State Department of Children, Youth & Families (DCYF) in Merit. Provide proof of MMR vaccination and/ or resistance to Measles, Mumps & Rubella. Current Food Handlers card. Current First Aid/CPR card. Prior to the first day, complete Health & Safety training certificates through DCYF student training portal. Complete Childcare Basics 30 hours STARS training within 3 months of hire Meet the minimum education requirements within the timeframe as stated in the performance standards. Minimum Qualifications:
HS/GED required. Associate of Arts degree in Early Childhood or related degree preferred. Sufficient skills in typing to complete 50 words per minute accurately and the ability to take sufficient notes at a meeting to prepare an accurate record of events. Computer expertise in the following programs: Microsoft Word, Microsoft Excel, and Microsoft Publisher. Bilingual/Biliterate (English/Spanish) preferred; testing for Spanish will be administered. Excellent communication skills, attention to detail, editing skills, and the ability to integrate with other team members, coworkers, vendors, clients, and general public. Ability to work with a minimal amount of direction. Valid Washington State Driver's license, own transportation and required auto insurance.
