Job Description
JOB Resume and Cover Letter Required
Plans, organizes and directs election preparation by managing candidate registration, ballot development, election equipment programming, and ballot mailings to ensure accuracy, timeliness, and compliance with state and federal requirements.
Trains, coaches, and evaluates employees, providing feedback, development, and corrective action as needed to build staff capacity and maintain high performance standards.
Participates in the hiring process and applies disciplinary actions in consultation with the Auditor to ensure staffing decisions support organizational goals and compliance with policy.
Performs and oversees the Election and Voter Registration division by managing and participating in the development and implementation of short and long-range plans, goals, objectives, policies and priorities.
Performs and oversees the conduct of elections by supervising ballot processing, verifying accuracy, and ensuring compliance with statutes and regulations to maintain the integrity of results.
Manages voter registration by directing year-round registration, processing, and verification activities to ensure accurate and up-to-date voter rolls.
Prepares and certifies election records and reports, including voter lists, statistical summaries, and submissions to the Secretary of State, to ensure transparency, accountability, and compliance with legal mandates.
Maintains office operations related to elections by issuing voter cards, securing election materials, and authorizing vouchers for departmental expenses to ensure accurate documentation and fiscal accountability.
Drafts, edits,and manages webpage, and social media content, and voter's pamphlet to provide timely, accessible, and accurate election information to the public.
Coordinates with election boards, committees, and temporary workers on election nights to support scheduling, oversight, and the lawful and efficient conduct of ballot processing.
Performs other duties as assigned.
Regularly interacts with staff, temporary election workers, and the public in person, by phone, and by email.
Work hours may extend into evenings and weekends to meet statutory election deadlines.
Occasionally travels to attend conferences, trainings, or to transport ballots within the County.
Field and election event support may involve exposure to varying environments such as ballot collection sites, election night processing areas, and community locations.
Frequently sits at a computer workstation to perform administrative tasks, ballot processing, and documentation.
Regularly communicates in person, by phone, and in writing with staff, election workers, and the public.
Frequently types, writes, and uses office equipment such as phones, copiers, scanners, and computers.
Regularly lifts and carries boxes of ballots, election materials, or paper supplies weighing up to 25 pounds.
On election days, receives ballot boxes and sorts/prepares ballots for counting.
Regularly walks or moves between office locations.
Frequently uses near and distance vision, along with peripheral vision and depth perception, to complete office tasks and ensure accuracy in election documentation.
PURPOSE OF POSITION
The Elections Supervisor, under general supervision, performs and oversees election services in the Auditor's Office to ensure compliance with Washington State statutes and RCW's. The position manages the elections office and administrative reporting while supervising staff and supporting contract sub-agents. By directing daily operations, training and evaluating employees, and ensuring compliance with state and county requirements, the role strengthens efficiency, accuracy, and accountability across the division. Through this work, Elections Supervisor directs the conduct of elections and voter registration within the County in compliance with state statutes and regulations of the Office of the Secretary of State. The position manages election preparation, ballot processing, voter registration systems, reporting, and public communications to ensure secure and accurate elections. By overseeing technical processes, election staff, and statutory procedures, the role ensures efficient operations and lawful certification of results. Through this work, the Elections Supervisor supports public confidence in the democratic process and safeguards the integrity of elections for County residents.DISTINGUISHING CHARACTERISTICS
The Elections Supervisor is distinguished from the Elections Deputy in that the Administrator holds Washington State Administrator of Elections certification, granted by the Secretary of State, and assumes responsibility for independently directing election processes and ensuring lawful certification of results. Positions within the Elections series progress from Elections Deputy to Certified Elections Administrator based on a minimum of two years of training, experience, and successful completion of certification requirements.EXAMPLE OF DUTIES
