Job Description

We are looking for a detail-oriented Trust Administrative Assistant to support trust administration operations for a Financial Services organization in Milwaukee, Wisconsin. This contract position offers a path to a permanent role, is fully onsite, and provides the opportunity to contribute to a team that manages sensitive client and asset-related administrative work. The role partners closely with Trust Officers and internal departments to keep records accurate, coordinate reporting, and help maintain smooth daily operations.
Responsibilities:
  • Provide daily administrative support for trust administration activities while partnering with Trust Officers to ensure work is completed accurately and on schedule.
  • Handle annuity and other manually tracked asset transactions, maintaining current values and organized supporting documentation.
  • Coordinate insurance-related records by collecting statements, reviewing policy information, and working with external vendors as needed.
  • Assist with the setup and maintenance of brokerage relationships, including account openings, online access arrangements, data connectivity, and authorized signer updates.
  • Support account administration tasks for payment card programs by opening and closing cards and preparing monitoring reports to identify unusual usage patterns.
  • Prepare board-related materials and operational reports, and help organize information needed for internal review and decision-making.
  • Provide backup coverage to cross-functional teams such as case management, wealth management, settlements, pooled trusts, and other administrative support areas.
  • Help maintain specialized files and systems access, including records that require additional software components or controlled access methods.
  • Contribute to team development by assisting with training for less experienced administrators and participating in committee-related work or special initiatives.
  • Update client activity and administrative records in internal databases while supporting mailing changes, software-related administrative updates, and trust reporting needs.
