The Admin Coordinator is responsible for maintaining and coordinating the company's information technology systems to support efficient business operations and food safety compliance. This role manages IT infrastructure, security systems, and data processes to ensure reliable system performance and operational continuity. The position also supports facility safety systems and training programs while maintaining accurate records and supporting company compliance standards. Further responsibilities include managing the company's marketing activities, including website maintenance, social media accounts, and promotional campaigns This position also oversees inventory management and retail sales activities to maximize operational efficiency and profitability. IT Coordinator Responsibilities Follow all applicable food safety, gluten-free, and regulatory program requirements, including SQF policies and company procedures, to ensure compliance. Maintain and support company IT infrastructure, hardware, and software systems. Monitor and maintain network performance, system security, and data reliability. Manage and maintain camera surveillance and food defense security systems. Design, update, and support company information management systems. Troubleshoot technical issues and provide IT support to employees and departments. Maintain documentation and records for IT systems, processes, and security procedures. Ensure IT systems support traceability and operational data management. Coordinate system updates, maintenance, and improvements to support business operations. Support company policies related to security, safety, and operational technology standards. SQF & Food Safety Responsibilities Employees in this position are responsible for: Maintaining compliance with all SQF, Food Safety, and Good Manufacturing Practices (GMPs) Marketing and Inventory Coordinator Key responsibilities include monitoring retail inventory levels, analyzing sales trends and inventory data, maintaining accurate inventory records, and supporting product availability. The coordinator works closely with management, production, sales, and customers to ensure efficient operations, timely communication, and continued business growth. Marketing and Inventory Primary Responsibilities Follow all applicable food safety, gluten-free, and regulatory program requirements, including SQF policies and company procedures, to ensure compliance. Manage and maintain the company website, ensuring content is accurate and up to date. Develop and manage social media content and promotional campaigns in collaboration with management. Support marketing initiatives that enhance brand awareness and customer engagement. Monitor inventory levels and maintain accurate inventory records. Analyze sales trends and inventory data to support purchasing and production planning. Coordinate retail sales activities and assist with customer inquiries. Prepare reports related to inventory, sales, and marketing activities as requested. Perform other duties as assigned by management. Manage Amazon purchase orders, shipping documentation, and demand forecasting activities. Create manufacturing orders and work orders for milling and packaging production. Maintain accurate inventory records by monitoring and reconciling inventory transactions in the Fishbowl inventory management system, ensuring all production, shipments, and inventory adjustments are accurately recorded. Support inventory traceability by maintaining records required for SQF and Organic certification
