Full-Time We're a petroleum distribution company serving a wide variety of industries and individuals--predominantly farming, ranching, construction and retail station supply. Our top priority is to be the easiest petroleum distribution company to work with in the areas we serve. When the trucks roll, the invoices need to go out clean and on time. Additionally, our customers deserve to have their questions answered promptly and with utmost respect and courtesy. We need a Billing Clerk who will own the customer billing side of the business so the rest of the team can keep moving product and maintaining efficiency. Core Accountabilities Provide excellent customer service: on the phone, in-person and by email Generate and issue accurate invoices for product deliveries and related charges Maintain clean purchase records in Excel in order for our AP to reconcile invoices and ensure that monthly State reports are ready to submit at the end of the month, eliminating any backlog Contact freight carriers, suppliers, customers to request or provide missing paperwork Track accounts receivable and follow up on past-due invoices Post customer payments and keep account balances current Handle basic billing questions from customers Prepare simple receivables reports (aging, outstanding balances) so we can see what's owed Create, update, and maintain accurate standard operating procedures for tasks as software updates occur or in-office procedures change. Invoices go out correctly and on time Purchase reporting is kept up daily and end of month reports and balancing is seamless Customer balances stay accurate Past-due accounts are worked consistently Billing questions get answered without constant escalation The receivables picture is clear and current Who This Role Fits You're organized, detail-oriented, and follow through. You're comfortable in QuickBooks Online (or similar), proficient in Excel and can manage a steady volume of invoices and payments. You take ownership of the numbers you're responsible for. You prefer clear expectations and measurable results over vague job descriptions.
