Dental Insurance Coordinator

Job Description

Landmark Dental Studio Do you actually LIKE dental insurance? Seriously. Do you get a weird amount of satisfaction from cleaning up an aging report? Can you look at an EOB and immediately understand what happened? Do spreadsheets, numbers, collections, insurance breakdowns, and finding missing money make your brain happy? Have you ever looked at an outstanding insurance claim and thought, "Oh, absolutely not. We are getting this paid." We want to talk to you. Landmark Dental Studio is looking for an experienced Dental Insurance & Billing Specialist to join our team. This is not a management position. This is a hands-on, numbers-heavy position for someone who knows dental insurance, understands billing, isn't afraid of collections, and takes ownership of getting accounts cleaned up and claims paid. You will report directly to our Director of Operations and work closely with our administrative and clinical teams. What You'll Own Your world will revolve around the financial and insurance side of the patient experience, including: Dental insurance billing and claim submission Following up on outstanding and unpaid insurance claims Working insurance aging reports Reviewing and interpreting EOBs Correcting denied or rejected claims Appeals and insurance follow-up Posting and reconciling insurance payments Reviewing patient ledgers for accuracy Identifying old and outstanding balances Collecting past-due patient balances Explaining treatment and insurance breakdowns to patients Helping patients understand exactly what insurance paid, what insurance didn't pay, and why Identifying discrepancies before they become bigger problems Tracking financial and insurance data Working with spreadsheets, reports, and analytics Helping us continuously improve our billing and collection processes We want someone who treats dental insurance almost like a second language . You Need to Be Comfortable Talking About MONEY This is important. If asking someone to pay a $1,500 past-due balance makes you extremely uncomfortable, this probably isn't your position. We aren't looking for someone rude or aggressive. Quite the opposite. We want someone who can confidently, professionally, and compassionately say: "Let me walk you through exactly what happened with your insurance, what they paid, what they didn't pay, and what remains your responsibility." And then confidently ask for payment. You need to be able to have difficult financial conversations without becoming flustered, defensive, or intimidated. Some patients and family members will be frustrated. Some will disagree with their insurance company. Some will be upset about an old balance. Your job is to know the account, know the numbers, explain them clearly, stay professional, and help get the situation resolved. Dentrix Experience Is

REQUIRED

Medicaid Experience is a plus

• This is not an entry-level dental billing position. We need someone who already has experience working in Dentrix and understands the dental insurance and billing side of the software. You should be comfortable navigating patient accounts, ledgers, insurance information, claims, payments, balances, reports, and account notes without needing someone to teach you dental billing from scratch. You're Probably Our Person If... You LOVE numbers. You notice when something doesn't reconcile. You enjoy spreadsheets. You could happily spend time digging through accounts looking for discrepancies. You have a little bit of a bookkeeper brain. You understand dental insurance terminology without having to Google every other word. You can read an EOB. You understand deductibles, annual maximums, frequency limitations, downgrades, exclusions, coordination of benefits, estimates, patient portions, and insurance payments. You aren't afraid to pick up the phone and call an insurance company. You aren't afraid to call a patient about money. You document everything. You follow things through instead of assuming someone else will handle them. And when you find money that should have been collected months ago? You want to go get it. But Here's the Other Side of the Job... We're a dental office. And dental offices don't always follow the plan. Someone calls out. The schedule falls apart. A patient cancels. The phones start ringing. The front gets slammed. When that happens, we don't say, "That's not my job." We help each other. Although your primary responsibility will be insurance and billing, you need to be willing and able to jump in when the practice needs you.

That could mean:

Helping with patient checkout Answering phones Calling patients to fill openings in the schedule Helping manage last-minute cancellations Supporting the administrative team during busy periods Helping patients understand balances at checkout Doing what needs to be done to help the day run successfully We are looking for a team player , not someone who lives inside their job description.

What We're Looking For Required:

Previous dental billing and insurance experience Previous Dentrix experience Medicaid experience Strong understanding of dental insurance and EOBs Experience with insurance claims and follow-up Experience collecting patient balances Strong numerical and analytical skills Comfortable working with spreadsheets and reports Excellent written and verbal communication Ability to remain calm and professional during difficult conversations Strong attention to detail Ability to work independently and follow accounts through to resolution Willingness to jump in and support the team when needed This Position Is NOT... This is not a management or leadership position . You will not be responsible for managing employees. You will report to the Director of Operations and be responsible for becoming an absolute expert in your area of the practice.
