This high-volume, administrative role is responsible for processing invoices, handling receivables, entering inventory data, and managing customer communications. Key Responsibilities Invoicing & Billing:
Accurately update and finalize branch invoices (target 400+ per month) within 48 hours of service delivery; mail invoices within 24 hours.
Interdepartmental Coordination:
Work directly with sales, warehouse, and service teams to gather required billing details and obtain customer POs.
Financial & Cash Handling:
Prepare daily bank deposits, manage accounts receivable follow-ups for past-due accounts, reconcile credit card/petty cash transactions, and process incoming vendor payments.
Inventory & Systems:
Receive vendor invoices and enter stock into internal database tracking systems.
Branch Operations:
Answer and dispatch incoming calls, prepare general correspondence, and submit reviewed accounts payable files to corporate offices.
Qualifications & Requirements Experience:
3-6 months of related office administrative, billing, or cash handling experience (or an equivalent combination of education and training).
Skills:
Fundamental math skills (rates, ratios, percentages), basic computer proficiency, and clear phone communication.
Adaptability:
Ability to learn proprietary billing software within four months and comfortable working across various branch departments.
Travel:
Occasional local/regional travel for corporate training or team meetings as needed.
Physical Requirements:
Ability to sit, stand, walk, and occasionally lift up to 10 lbs in a standard office setting.
