Our Operations Team is seeking an Insurance Data & Billing Specialist, where you will play a critical role in maintaining accurate policy and financial information while supporting the day-to-day operations of our agency. This position is ideal for someone who is highly organized, detail-oriented, dependable, and comfortable working with numbers, insurance policy information, and multiple systems. You will be responsible for ensuring the accuracy and completeness of policy and billing data within our Agency Management System (AMS360), processing payments and invoices, reconciling accounts, and helping maintain the high level of accuracy required to support our agency's E&O standards. In depth knowledge with Excel is strongly preferred. The ideal candidate is self-motivated, analytical, and able to identify discrepancies and follow them through to resolution. Strong computer skills, attention to detail, and the ability to manage multiple priorities are essential for success in this role. Some of the key responsibilities include: Process incoming checks, payments, refunds, and carrier transactions while ensuring all activity is accurately documented in AMS360 and supporting accounting systems. Accounts receivable/accounts payable Handle policy and carrier payments, including ACH transactions, ePay payments, financed payments, and recurring carrier payments. Review and process carrier invoices, reconcile commission statements, verify agency and producer commissions, and research discrepancies or missing payments. Maintain accurate accounting spreadsheets, AMS activities, shared folders, payment confirmations, commission records, and supporting documentation. Identify and process non-billable transactions, refunds, unearned commissions, fees, bonuses, and other accounting adjustments. Coordinate with producers, billing, operations, carriers, and other internal or external teams or partners to resolve payment and accounting issues. Maintain accurate and timely records while following agency procedures and established E&O standards. Perform monthly reporting and reconciliation tasks and other accounting-related reports as needed.
