About us We have installed, sanded, and finished hardwood floors in the Wichita area for over a decade — residential remodels, new construction, and commercial work for area general contractors. About the role This is the seat that keeps the front of the house running. You are the first person a customer meets when they walk in, the person who makes sure the paperwork behind a sold job is complete and correct, and the person who gets that job invoiced and coded properly in QuickBooks Online once the crew is finished. The person currently in this role will train you — you will not be dropped into it cold. What you'll do Showroom and customers Greet walk-in customers, understand what they came in for, and connect them with the right salesperson, Keep the showroom, sample library, and product displays clean, current, correctly labeled, and stocked, Answer and route incoming calls, emails, and web inquiries; log every new lead the day it arrives, Research product, pricing, and availability questions and get customers a real answer, Follow up after completed jobs to confirm satisfaction and collect reviews. QuickBooks Online — billing and job costing Invoice completed jobs from the signed scope and approved change orders within two business days, Enter and code vendor bills, material invoices, and receipts to the correct customer and job, Enter purchase orders against sold jobs, match them to bills on receipt, and resolve variances, Record deposits and payments, run the A/R aging weekly, send statements, and make collection calls, Serve as backup to the Office Manager on accounts payable and payroll timekeeping. Orders, deliveries, and job paperwork Place material orders, confirm lead times in writing, and follow orders through to delivery, Receive and unload deliveries, verify against the order, and stage material for the crews, Maintain day-to-day vendor relationships, Prepare and file project paperwork: contracts, approvals, selections, and change orders. Scheduling support Work with the Field Supervisor and Project Manager to formalize job start dates and durations, then keep the production calendar accurate as jobs move, Call customers ahead of each job to confirm the start date, arrival window, and site access, and to confirm their prep work is done before the crew arrives. What this role is not We want to be straight about this. You are not the project manager. Job-site problems, crew direction, quality issues, and hard conversations about delays or rework belong to our Field Supervisor and Project Manager — not to this seat. You hand those off. And you are not expected to rebuild the week's schedule under pressure; that is a production decision made with the Field Supervisor and the owner. What we're looking for Two or more years in a customer-facing office, showroom, retail, or construction administration role, Working knowledge of QuickBooks Online or comparable accounting software — invoicing, entering bills, applying payments, Accurate with numbers, and comfortable being held to accuracy rather than effort Genuinely organized — you can hold six things in motion, get interrupted, and not drop any of them, Comfortable on the phone and willing to be direct with a customer when the news is not what they hoped to hear, Solid with email, calendars, and spreadsheets; quick to pick up new software, Able to lift sample boards, boxes, and display material up to 50 lbs, Valid driver's license and reliable transportation, High school diploma or equivalent. Helpful, but not required Job costing or project-based accounting experience, Flooring, construction, or remodeling background, Experience with a construction CRM or crew scheduling software.
