Job Description

Position Summary The Respiratory Services Billing Coordinator supports the daily operations of Boone Drugs' Respiratory department. This position plays an important role in ensuring patients receive exceptional service while supporting the operational, billing, inventory, compliance, and customer service functions necessary for the department's success. The individual in this position serves as a key link in customer service, operations, logistics, and billing. Responsibilities include customer service, inventory management, order processing, documentation review, billing input & submittal, claim follow-up, compliance activities, and audit follow-up and accountability. Success in this role requires strong organizational skills, attention to detail, accountability, initiative, and a commitment to helping the department operate efficiently and effectively. The individual is expected to take ownership of assigned responsibilities and actively contribute to achieving departmental and company goals while operating in a team environment. Responsibilities Customer Service & Patient Support Provide exceptional service to patients, caregivers, referral sources, and healthcare providers. Assist patients with questions regarding equipment, services, billing, insurance requirements, and company procedures. Ensure patient concerns are addressed professionally and promptly. Promote a positive customer experience while maintaining compliance with company policies and regulatory requirements. Support communication between patients, healthcare providers, third-party payers, and department personnel. Billing, Documentation & Reimbursement Enter and maintain patient, referral, billing, and equipment information within company software systems. Review orders, documentation, authorizations, and other required information to support claims submission. Monitor claims from initial submission through payment resolution. Follow up on submitted claims to ensure timely processing and reimbursement. Research, investigate, and resolve claim denials, payment delays, and reimbursement discrepancies. Generate invoices and billing-related documentation as required. Reconcile billing records and assist with account resolution activities. Maintain accurate and complete records supporting billing and reimbursement activities. Work closely with management and staff to maximize reimbursement opportunities while maintaining compliance with all applicable regulations. Inventory Management & Purchasing Monitor inventory levels of DME and respiratory equipment, supplies, and related products. Place inventory orders as directed and assist in maintaining appropriate stock levels. Receive, verify, organize, and track incoming inventory. Assist with equipment tracking, rental management, and inventory reconciliation activities. Identify inventory shortages, overstock situations, and process improvement opportunities. Support the maintenance of accurate inventory records and reporting. Operational Support Assist in coordinating daily departmental activities to ensure efficient workflow. Support equipment delivery, rental, exchange, maintenance, and retrieval processes as needed. Work collaboratively with department personnel to ensure continuity of operations. Assist in maintaining efficient processes and workflows. Identify issues that may impact patient service, billing, inventory, compliance, or operational performance and communicate them appropriately. Support departmental initiatives focused on growth, efficiency, customer satisfaction, and financial performance. Auditing & Compliance Conduct routine audits of documentation, billing records, inventory records, and workflow processes. Monitor outstanding claims, documentation deficiencies, and reimbursement issues to ensure timely follow-up. Assist in maintaining compliance with Medicare, Medicaid, commercial payer, accreditation, and company requirements. Participate in internal and external audits, inspections, accreditation reviews, and regulatory activities. Help ensure accurate, complete, and timely recordkeeping throughout the department. Report compliance concerns, operational issues, or areas of risk to department leadership. Team Support Assist with training and onboarding activities as assigned. Support staffing efforts by helping maintain workflows and departmental continuity during employee absences or periods of increased workload. Foster positive communication and teamwork throughout the department. Serve as a dependable resource for coworkers and management. Contribute to a culture of accountability, professionalism, and continuous improvement. Expectations The Respiratory and DME Services Billing Coordinator is expected to demonstrate professionalism, initiative, accountability, dependability, and strong attention to detail. This position requires an individual who can manage multiple responsibilities simultaneously while maintaining accuracy and providing excellent service to patients and customers. The individual in this role is expected to identify problems, pursue solutions, follow through on commitments, and take personal responsibility for the successful completion of assigned work. Teamwork, cooperation, and a willingness to assist wherever needed are essential to the success of the department. The employee is expected to actively support the financial health of both Boone Drugs and its customers through accurate documentation, timely billing, diligent follow-up, responsible inventory practices, and effective operational support. Qualifications Experience in healthcare operations, DME, respiratory services, medical billing, customer service, inventory management, or a related field preferred. Preferred but not required provided the individual is willing to commit to a rigorous training routine Strong organizational and time-management skills. Excellent verbal and written communication abilities. Ability to work independently while maintaining effective collaboration with a team. Proficiency with computer systems, business software, and electronic documentation platforms. Ability to maintain confidentiality and handle sensitive information appropriately. Strong attention to detail and commitment to accuracy. Ability to prioritize competing responsibilities and meet deadlines. Physical Requirements Ability to sit, stand, walk, bend, and move throughout the workday. Ability to use computers, telephones, and office equipment regularly. Ability to occasionally lift, carry, push, or move equipment and supplies weighing up to 50 pounds. Ability to travel between company locations as needed.
