Job Description

As a Billing & Payment Specialist, you'll be an important member of our Billing Team, helping clients navigate the financial side of receiving mental health services. A significant part of this position involves talking with clients about copays, balances, statements, insurance, and payment options—and following through to collect payments for services that have already been provided. If you've worked in collections, a BDC, customer retention, inside sales, patient billing, call center, or another high-volume phone environment, the skills you've developed may translate very well to this position. This Is a People & Phone Position This position needs someone with experience and comfort using technology platforms. This is also a phone-heavy role. You'll make and receive a significant number of calls throughout the day, primarily with clients. We're looking for someone who is comfortable picking up the phone, starting conversations, asking for payment when appropriate, and following through when a client says, "I'll take care of it later." The right person will be able to balance persistence with compassion—understanding that conversations about healthcare costs can sometimes be difficult or uncomfortable. You don't need to be pushy. You do need to be comfortable asking, following up, and getting things resolved. What You'll Do Your primary responsibilities will include: Contacting clients to collect copays, coinsurance, deductibles, and other balances after services have been provided Making and receiving a high volume of phone calls related to payments, billing, and insurance Following up consistently on outstanding client balances Discussing payment expectations and available payment options with clients Answering questions about statements, balances, insurance, and payments Processing and accurately documenting client payments Producing and sending client statements Reviewing client accounts and determining appropriate next steps Maintaining accurate records and following established collection processes Providing a professional, respectful, and compassionate experience while still confidently moving conversations toward resolution Additional Billing Responsibilities You will be trained in additional aspects of the mental health billing process, which may include: Following up on insurance claim denials and unpaid claims Submitting claims to insurance companies for services provided to clients Communicating with insurance companies by phone regarding claims, eligibility, benefits, and billing questions Researching and resolving billing or insurance discrepancies Learning the basics of mental health insurance billing and CPT codes Collaborating with clinicians and administrative staff to resolve client account questions What Makes Someone Successful in This Role? You may be a particularly good fit if you have experience in: Collections Automotive or other BDC environments Patient or medical billing Call centers Inside sales Customer retention Customer service Payment processing Account follow-up Any role where you were responsible for making a high volume of calls and getting results We're looking for someone who: Is comfortable making outbound calls and following up repeatedly when needed Isn't afraid to ask for payment or have a direct conversation about a balance Can build rapport quickly over the phone Knows how to listen and respond to concerns without becoming defensive Can be persistent without being aggressive Is comfortable working toward measurable goals Has excellent verbal communication skills Is organized and able to keep track of multiple follow-ups Pays close attention to details Can remain calm and professional during difficult conversations Works independently and knows when to ask for help Takes ownership of getting things resolved If you're someone who enjoys talking to people, solving problems, following up, and seeing a conversation through to a resolution, we'd love to hear from you.
Qualifications & Experience Required:
Experience in collections, customer service, BDC, call center, billing, healthcare, sales, or another phone-based customer-facing role Strong verbal and written communication skills Comfort making and receiving frequent phone calls Comfort discussing payments and financial expectations Strong follow-through and organizational skills Attention to detail and accuracy Ability to maintain confidentiality Ability to work independently and manage competing priorities Preferred, but not required: Experience with medical or mental health billing Knowledge of medical insurance and insurance terminology Familiarity with CPT codes and healthcare claims Experience with electronic medical records or healthcare billing systems Previous experience collecting healthcare or patient payments Healthcare billing experience is helpful, but we're willing to train the right person who brings strong communication, collections, BDC, customer service, and follow-up skills.
