Job Summary We are seeking a detail-oriented and proactive Billing Assistant to join our finance team. In this vital role, you will manage billing processes, ensure accurate invoicing, and support accounts receivable functions. Your expertise in financial software, accounting principles, and customer service will help maintain seamless billing operations and foster strong client relationships. Responsibilities Prepare, review, and process invoices using billing software and accounting systems such as QuickBooks, Sage, PeopleSoft, or similar platforms. Manage accounts receivable by tracking payments, following up on overdue accounts, and reconciling billing discrepancies. Perform data entry with precision into spreadsheets and financial software, ensuring accuracy in all transactions. Conduct account analysis and reconciliation to verify the integrity of financial data and support month-end closing activities. Assist with collections account management by communicating with clients via phone or email to resolve billing issues promptly. Support accounts payable processes by verifying vendor invoices and processing payments efficiently. Generate detailed reports using Excel data analysis techniques, including formulas and pivot tables, to monitor billing trends and identify discrepancies. Maintain compliance with financial regulations such as SOX (Sarbanes-Oxley Act) and GAAP (Generally Accepted Accounting Principles). Provide exceptional customer service by responding professionally to client inquiries regarding billing statements or account status. Collaborate with the finance team on journal entries, account analysis, and technical accounting tasks related to billing activities. Qualifications Proven experience in accounting or finance roles, preferably within public accounting or governmental organizations. Strong knowledge of accounting concepts including debits & credits, double entry bookkeeping, and account reconciliation. Proficiency in financial software such as QuickBooks, Sage, PeopleSoft, or similar systems; experience with billing software is highly desirable. Excellent skills in Excel data analysis, including formulas, spreadsheets management, and Excel data entry accuracy. Familiarity with GAAP standards and SOX compliance requirements for financial controls. Ability to manage collections accounts effectively while maintaining professional communication standards. Strong attention to detail with the ability to perform 10 key typing efficiently; excellent math skills are essential for accurate account analysis. Effective phone etiquette and client communication skills for resolving billing issues professionally. Basic understanding of governmental or non-profit accounting practices is a plus.
