This position is responsible for reviewing and processing invoices for commodity, specialty, and consignment materials; maintaining accurate pricing and customer information; identifying and resolving billing discrepancies; and ensuring transactions are properly documented and entered into the company's operating system. The position will also carry senior Customer Service responsibilities, serving as a key point of contact for assigned Sales Representatives and customers, assisting with order processing, coordinating order flow, and supporting the Customer Service team with problem resolution and coverage as needed.
Billing Responsibilities:
Process and review customer invoices for accuracy, completeness, and proper pricing. Bill commodity, specialty, and consignment materials according to established customer agreements and pricing. Verify quantities, weights, pricing, freight, surcharges, fees, and other applicable charges prior to billing. Review customer pricing and supporting documentation to identify potential billing discrepancies before invoices are issued. Work closely with Sales, Customer Service, Accounting, Production, and Transportation to resolve billing issues. Research and correct billing discrepancies, including pricing, quantities, freight, taxes, containers, and other charges. Maintain accurate billing records and supporting documentation. Monitor customer-specific billing requirements and ensure invoices are processed according to established procedures. Assist with account reconciliation and research of customer billing questions when needed. Identify recurring billing issues and recommend process improvements to reduce errors and prevent future discrepancies. Maintain accurate customer and pricing information within the operating system. Ensure billing information is entered accurately and in a timely manner. Handle billing-related customer and Sales Representative inquiries professionally and efficiently.
Senior Customer Service Responsibilities:
Serve as a primary point of contact for assigned Sales Representatives and their customer portfolios. Process customer purchase orders and ensure orders are entered accurately and completely. Ensure transactions meet acceptable shipment deadlines and customer requirements. Provide proper documentation related to customer transactions and shipments. Coordinate order flow across multiple departments, including Sales, Production, Transportation, Purchasing, and Accounting. Work in conjunction with Sales to maintain current and accurate customer pricing to prevent post-billing errors. Assist with forecasting customer material usage and identifying potential supply requirements. Act as a senior resource for incoming customer and Sales questions, using sound judgment to determine appropriate solutions and alternatives. Assist other Customer Service Representatives with complex customer issues, billing questions, and problem resolution. Provide coverage for other Customer Service team members during absences and periods of increased workload. Help identify process improvements that increase accuracy, efficiency, and customer satisfaction. Maintain professional and effective communication with customers, Sales Representatives, vendors, and internal departments. Stay current on company procedures, products, systems, technology, and industry-related developments. Qualifications/ Skills/ Experience High school diploma or equivalent required; college degree or equivalent professional experience preferred. Previous billing, accounting, accounts receivable, customer service, or related experience preferred. Strong mathematical and analytical skills with a high level of attention to detail. Strong proficiency in Microsoft Excel, including the ability to work with spreadsheets, formulas, calculations, and large amounts of data. Proficiency in Microsoft Office and the ability to quickly learn and navigate additional business applications and ERP systems. Ability to accurately review and interpret pricing, quantities, weights, freight, fees, and other billing information. Excellent written and verbal communication skills. Strong organizational skills with the ability to prioritize multiple tasks and deadlines. Ability to identify discrepancies, research problems, and reach accurate conclusions based on available information. Strong problem-solving and decision-making skills. Ability to work independently while also functioning effectively as part of a team. Ability to handle a fast-paced environment and stressful situations while maintaining accuracy and professionalism. Self-motivated and dependable with a strong commitment to accuracy and follow-through. Ability to maintain confidentiality of customer, pricing, financial, and company information. Customer Service and Supply Chain experience preferred. Experience working with an ERP or order management system preferred. Ability to adapt to changing processes, systems, and business requirements.. Work Environment This position works primarily in a shared office environment. The position requires regular use of computers, phones, printers/copiers, and other standard office equipment. The position is primarily in-office . The role requires the ability to work in a fast-paced environment while maintaining a high level of accuracy and professionalism. Physical Requirements The job operates in a clerical office setting. The role routinely uses standard office equipment such as computers, telephones, printers/copiers, and filing systems. The employee may be required to sit for extended periods while performing computer-based work. The noise level in the work environment is generally moderate.
