This role requires professionalism, confidentiality, attention to detail, and the ability to manage sensitive legal and financial information. Reception & Client Relations Greet clients and visitor in a professional, courteous, and confidential manner Answer and direct incoming calls, including occasional client intake inquiries Schedule client and attorney meetings Maintain a welcoming and organized office environment Handle mail and shared email box Legal Administrative Support Provide administrative support to attorneys and legal staff Assist with maintaining organized client files Assist with document management, scanning, and filing Track deadlines, court dates, and appointments Interact with legal practice management software: keep client notes and complete assigned tasks Billing & Legal Finance Responsibilities Monitor accounts and notify clients of outstanding balances Process payments and retainers Bill legal insurance providers for work completed Qualifications High school diploma or equivalent; associate's or bachelor's preferred 2+ years experience in a law firm or office setting Familiarity with legal terminology preferred Proficiency in Microsoft Office Strong communication and organizational skills Ability to maintain confidentiality Key Competencies Professionalism and client service Attention to detail Time management and prioritization Punctuality and reliability Confidentiality and discretion
