We are seeking a reliable, detail-oriented Billing & Administrative Assistant to support clinic operations.
Job Responsibilities Administrative & Clinic Operations:
Schedule and confirm patient appointments Manage phone calls, emails, and parent/provider communication Coordinate referrals and intake paperwork Maintain accurate patient records Maintain files of company expenses Provide in-clinic administrative support on clinic days Track inventory, order supplies, & mail shipments Process payments from families using payment software Support and coordinate marketing efforts
Billing and Insurance Operations:
Verify insurance benefits & eligibility Submit insurance claims for orthotics services (DME experience preferred) Review EOBs and post payments Manage denials, corrections, & resubmissions Follow-up on outstanding claims to ensure timely payment Communicate clearly with families regarding insurance coverage & balances Insurance credentialing
Qualifications Required:
Experience in medical administration, clinic operations, or insurance processing Experience with insurance billing Strong attention to detail and organization Comfortable working independently and meeting deadlines Clear, professional communication skills (especially with parents) Basic computer proficiency and ability to learn clinic software Must have access to a reliable, personal laptop Must have access to reliable internet connection on remote work days Preferred, but not required: Pediatrics or orthotics clinic experience Familiarity with insurance portals and EHR systems A healthcare administration degree is not required . Relevant experience and demonstrated skills are valued more than formal education. Schedule & Work Environment Full-time position (36-40 hours per week) after training period
M-Th:
9am - 6pm with a one-hour lunch break
F:
9am - 1pm Family-friendly, supportive clinic culture
Compensation Structure Training Period:
The position begins with a 2-week training and onboarding period. 10-15 hours per week Responsibilities include learning clinic systems, administrative workflows, scheduling processes, patient intake procedures, and other vital clinic operations.
Full-Time Administrative Role:
After the training period, the role transitions into a full-time, hourly administrative position. 36-40 hours per week $22-$24 per hour (based on experience) Benefits Eight paid holidays off Paid time off (PTO) - 8 days PTO during year 1; 12 days PTO during year 2+ Paid training Daytime schedule (no evenings or weekends) Why Join Us?
