Billing & Patient Accounts Specialist West Hills Imaging Location:
Pittsburgh, PA Position Type:
Full-Time Schedule:
Hybrid — 4 days per week on-site, 1 day remote About West Hills Imaging West Hills Imaging is an independent outpatient imaging center providing MRI, CT, mammography, ultrasound, X-ray, and other diagnostic imaging services. We are committed to providing patients with high-quality imaging, convenient scheduling, timely results, and a positive patient experience. We are seeking a Billing & Patient Accounts Specialist to join our team. This position is ideal for someone who is detail-oriented, comfortable working with insurance information, and enjoys helping patients understand their imaging benefits and financial responsibility. Position Summary The Billing & Patient Accounts Specialist will be responsible for insurance billing, insurance verification, authorization support, patient financial estimates, and patient account follow-up. This is a patient-facing position , and the successful candidate will regularly communicate with patients regarding insurance benefits, deductibles, copayments, coinsurance, prior authorizations, balances, and payment arrangements. The position requires strong attention to detail, excellent communication skills, and the ability to work independently while collaborating closely with the front desk and clinical staff. Key Responsibilities Insurance & Billing Submit and manage insurance claims for MRI, CT, mammography, ultrasound, X-ray, DEXA, and other imaging services. Verify patient insurance eligibility and benefits. Review claims for accuracy and resolve billing issues. Monitor unpaid, denied, and rejected claims and follow up as needed. Research insurance requirements and payer policies. Identify and correct billing errors or missing information. Work with insurance companies regarding claim status, payment, denials, and outstanding issues. Maintain accurate documentation of billing and insurance communications. Patient Financial Responsibility Determine and communicate estimated patient responsibility for imaging procedures. Review deductibles, copayments, coinsurance, out-of-pocket requirements, and remaining benefits. Use payer portals and eligibility/benefit tools to research patient benefits. Explain financial responsibility to patients in a clear, professional, and compassionate manner. Contact patients regarding estimated balances or outstanding amounts. Collect patient payments when appropriate. Establish and manage payment arrangements according to company policy. Assist patients with questions regarding bills, insurance payments, and account balances. Authorizations & Scheduling Support Identify imaging procedures requiring prior authorization. Obtain and track insurance authorizations and authorization numbers. Communicate with insurance companies, referring physician offices, and patients regarding authorization requirements. Monitor authorization status and ensure required information is obtained before the patient's appointment. Work with the scheduling team to resolve authorization or insurance issues that may affect an appointment. Identify situations that require additional documentation, referrals, or medical necessity information. Patient Communication Serve as a knowledgeable and professional point of contact for patients with billing and insurance questions. Handle patient questions and concerns regarding financial responsibility. Communicate potentially difficult financial information in a respectful and compassionate manner. Help patients understand their insurance benefits without providing guarantees regarding final insurance payment. Maintain patient confidentiality and comply with HIPAA and company privacy policies. Administrative Responsibilities Maintain accurate patient account records. Document insurance calls, authorization information, patient communications, and account activity. Coordinate with front desk, scheduling, clinical, and management staff. Assist with other billing and administrative duties as needed. Maintain familiarity with payer websites, electronic eligibility systems, and billing software.
Qualifications Required:
Previous experience in medical billing, insurance verification, patient accounts, or a related healthcare administrative role. Strong understanding of health insurance terminology, including deductibles, copayments, coinsurance, allowable amounts, and out-of-pocket maximums. Excellent verbal and written communication skills. Strong attention to detail and organizational skills. Ability to communicate financial information clearly to patients. Ability to work independently and manage multiple priorities. Strong computer skills and comfort navigating insurance payer websites and electronic systems. Commitment to patient privacy and confidentiality.
Preferred:
Experience with outpatient imaging, radiology, or an imaging center. Experience with MRI and CT authorizations. Experience working with commercial insurance, Medicare, Medicaid, and workers' compensation. Experience with insurance eligibility and benefits platforms such as Availity. Experience with medical billing software or electronic medical record systems. Familiarity with CPT codes, ICD-10 codes, and medical necessity requirements. Previous experience handling insurance denials and appeals. Ideal Candidate The ideal candidate is someone who is organized, dependable, patient-focused, and comfortable discussing money and insurance with patients . The ideal candidate will be able to take a complicated insurance benefit and explain it to a patient in a way that is easy to understand. You should also be comfortable researching an issue, communicating with insurance companies, and following a problem through to resolution. Because this is a patient-facing role, professionalism, empathy, and communication are just as important as billing knowledge. Work Environment This is a hybrid position , with approximately four days per week working on-site at West Hills Imaging and one day per week working remotely , based on business needs. The position involves regular interaction with patients, physicians' offices, insurance companies, and members of the West Hills Imaging team.
