Job Description

Billing and Administrative Assistant. Updated 2026 Full-Time | Remote | $25-$32/hour Jennifer L. Flood, LMFT, LPCC — Marriage and Family Counseling Group, Inc. Sacramento, CA | jenflood.com We're a growing group psychotherapy practice in Sacramento looking for an experienced billing and administrative professional who can own our billing operations end to end — not just process what's handed to them. This is a full-time, remote role on a small, collaborative team. If you're the person who catches the underpaid claim before anyone asks, keeps a clean paper trail, and can be warm with a frustrated client on the phone, we want to talk to you. Flood, LMFT & LPCC, leads a thriving group practice providing compassionate, high-quality in-person and telehealth therapy to individuals, couples, and families throughout the Sacramento region. You'll report directly to the practice owner and work closely with our practice administrator — a two-person admin team supporting a growing clinical staff. We believe in clear communication, personal accountability, and supporting one another — whether that's solving a billing snag or celebrating a team win. What you'll do Billing and claims Submit insurance claims weekly after reviewing provider documentation for accuracy and completeness Post and track payments, reconcile EOBs, and maintain accurate financial records Contact insurance companies on underpaid, unpaid, and denied claims, and resubmit corrected claims Obtain and track insurance authorizations; resolve denials Maintain monthly reports of outstanding balances and flag trends before they become write-offs Enter billing and financial data into client accounts Generate and send superbills on request Administer the practice's fee policies, including no-show and late cancellation fees, letter-writing fees, and billable admin time Prepare Good Faith Estimates in compliance with the No Surprises Act Credentialing and payer enrollment Manage credentialing and enrollment applications for clinicians across all contracted payers Maintain CAQH profiles and keep provider data current with each payer Track application status and follow up with payers until approval Set up and maintain provider portal access for the practice Client and provider support Serve as the primary point of contact for client billing inquiries Follow up with clients on payment plans and missed payments Communicate with clinicians about billing issues and resolutions Partner with our practice administrator on shared client-facing and operational needs Administrative, HR, and documentation Assist with payroll processing and new staff onboarding Maintain written procedures for billing and credentialing workflows in the practice's policies and procedures manual, and keep them current as processes change Keep systems access, trackers, and records shared and current so the practice has continuity during time off Provide administrative support to the owner on special projects You'll thrive here if you Take ownership of your work and move things forward without being asked twice Follow through and close the loop, especially on the claims that take four calls to resolve Stay warm and professional with clients and colleagues, including on the hard days Speak up early when something isn't working, rather than letting it sit Like being trusted to run your piece of the practice Qualifications Minimum 2 years of medical billing experience; mental health billing strongly preferred Advanced working knowledge of
ICD-10, CPT
codes, and commercial insurance billing Experience with payer credentialing and provider enrollment strongly preferred Experience with an EHR and billing platform; SimplePractice a plus Strong written and verbal communication skills Comfortable working independently and remotely, managing your work by email and phone Detail-oriented, reliable, and solution-focused High school diploma or GED required; Medical Billing Certificate preferred Must reside in California Tech stack SimplePractice (EHR and billing)
