Job Description

Clinical Research Billing Specialist Position Summary The Clinical Research Billing Specialist manages billing, invoicing, financial tracking, and compliance across clinical trials to ensure accurate sponsor invoicing, proper cost segregation, and seamless financial operations. Reporting directly to the Director of Operations, this role oversees patient visit invoicing, payment reconciliation, vendor and patient reimbursements, and financial reporting in accordance with study budgets, contracts, and regulatory guidelines.

Choice of Exton, PA or Reading, PA Key Responsibilities Coordinate clinical trial billing processes, including invoicing sponsors for patient visits, study milestones, and ancillary costs based on trial budgets and contracts. Review clinical study protocols to accurately identify billable services and ensure appropriate segregation between research-related expenses and standard-of-care patient costs. Process and reconcile payments, vendor invoices, and patient reimbursements; maintain compliance documentation including DSA forms. Utilize Clinical Trial Management Systems (CTMS) and financial software/mechanisms (including CIAO billing systems) to track study revenue, monitor accounts, and reconcile ledgers. Investigate and resolve billing discrepancies, claims issues, or disputes with sponsors, insurance payers, and patients. Generate financial reports for leadership and collaborate closely with research coordinators, finance teams, and operational departments to streamline clinical financial workflows. Provide cross-coverage with compliance specialists and conduct billing-related orientation or training for clinical research staff. Minimum Qualifications Bachelor's degree in Accounting, Finance, Healthcare Administration, or a related field (or equivalent combination of education and direct professional experience). Professional billing or accounting experience specifically within a Clinical Research or Clinical Trials environment. Hands-on experience with clinical research billing mechanisms/software, such as CIAO billing or equivalent clinical billing systems. Strong working knowledge of clinical trial budgets, coverage analysis, and cost segregation protocols. Excellent analytical, organizational, and communication skills with the ability to manage financial operations across multiple active clinical studies.
