Job Description
Billing Specialist - Direct-to-Equipment Fueling Prime Fuel Solutions is seeking a highly organized, detail-oriented Billing Specialist to join our growing team. We are a leader in direct-to-equipment fueling , providing on-site diesel fueling services to construction, industrial, oil & gas, power generation, and commercial customers. This position is critical to ensuring fuel deliveries are accurately reconciled, invoiced, and billed while maintaining exceptional customer service and financial accuracy. Responsibilities Process daily fuel delivery transactions into customer invoices. Reconcile fuel tickets and delivery logs. Verify customer purchase orders, job numbers, equipment numbers, and billing codes. Review pricing, fuel taxes, freight charges, environmental fees, and contract rates for accuracy. Investigate and resolve billing discrepancies with dispatch, drivers, customers, and sales personnel. Generate and distribute invoices according to customer-specific billing requirements. Maintain customer billing records and update pricing schedules. Process credit memos and billing adjustments as needed. Assist with accounts receivable by responding to customer billing inquiries. Work closely with operations to ensure timely and accurate invoicing. Prepare billing reports and assist management with month-end closing activities. Ensure compliance with company policies and customer contract requirements. Qualifications Minimum of 2 years of billing, accounting, or accounts receivable experience. Experience in transportation, fuel distribution, logistics, trucking, or construction industries is highly preferred. Strong understanding of invoice reconciliation and billing procedures. Excellent attention to detail and ability to identify discrepancies quickly. Proficiency in Microsoft Excel and Microsoft Office. Experience with accounting or ERP software such as QuickBooks, Sage, SAP, TMW, or similar systems is a plus. Strong organizational and time management skills. Ability to manage multiple priorities in a fast-paced environment. Excellent verbal and written communication skills. High level of professionalism, integrity, and confidentiality.
