This vital role combines office management, billing, and administrative functions to ensure smooth daily operations. You will be the backbone of our administrative processes, handling client communications, managing schedules, overseeing billing procedures, and supporting team members with their administrative needs. Your proactive approach and attention to detail will help foster an efficient, professional environment that promotes growth and success. This paid position offers an exciting opportunity to develop your skills in office management, finance, and customer service within a collaborative setting. Duties Manage daily office operations including front desk responsibilities, multi-line phone systems, and greeting visitors with professionalism and courtesy Oversee scheduling and calendar management for team meetings, appointments, and events to ensure optimal time utilization Handle client communication with clarity and professionalism, providing excellent customer service and resolving inquiries promptly Process billing using accounting software such as QuickBooks; prepare invoices, track payments, and follow up on overdue accounts Maintain accurate bookkeeping records, including filing financial documents, reconciling accounts, and managing confidential information securely Assist with vendor management by coordinating orders, tracking supplies, and maintaining positive relationships with service providers Support human resources functions such as onboarding new employees, managing payroll data, and assisting with training & development initiatives Prepare financial reports and assist in budgeting activities to support the organization's fiscal health Ensure compliance with office policies and procedures while handling sensitive information with discretion Skills Proven experience in office administration or office management roles with strong clerical skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with advanced spreadsheet skills for data organization and analysis Familiarity with accounting software like QuickBooks or other financial software for billing and bookkeeping tasks Excellent communication skills—both verbal and written—to effectively interact with clients, vendors, and team members Strong organizational skills with the ability to multitask efficiently in a fast-paced environment Experience supervising or leading teams is preferred; capable of providing guidance and support to colleagues Knowledge of event planning and schedule management to coordinate meetings or organizational events smoothly Ability to handle confidential information discreetly while maintaining high standards of professionalism Technical proficiency in office equipment such as multi-line phones, printers, scanners, and scheduling tools Demonstrated ability to manage vendor relationships effectively while ensuring timely delivery of supplies or services Customer service orientation with a friendly demeanor that enhances client satisfaction Experience in human resources functions including payroll processing or employee onboarding is a plus Join us in creating an organized, welcoming workspace where efficiency meets excellence!
