Job Description
Job Overview BWS Inspection Services is seeking a detail-oriented Billing Specialist to join our growing accounting team. This position is responsible for preparing accurate client invoices, reviewing timesheets, verifying billing information, and ensuring invoices are submitted timely and in accordance with client requirements. The ideal candidate is highly organized, enjoys working with numbers and data, can manage multiple priorities in a fast-paced environment, and takes pride in producing accurate work with minimal supervision. This is a full-time, in-office position. Responsibilities Prepare and process weekly client invoices accurately and on schedule. Review employee timesheets for completeness and billing accuracy. Verify bill rates, pay rates, work orders, and client-specific billing requirements. Research and resolve invoice discrepancies with project managers, payroll, and clients. Submit invoices through client billing portals and other required systems. Maintain accurate billing records and supporting documentation. Assist with accounts receivable by responding to invoice questions and researching outstanding balances. Generate billing reports and assist with month-end reconciliation. Maintain client files and billing databases. Collaborate with Payroll, Operations, and Business Development to ensure billing accuracy. Identify process improvements to increase efficiency and reduce billing errors. Perform other accounting and administrative duties as assigned. Qualifications & Experience Required High school diploma or GED. Minimum of 1 year of billing, accounting, bookkeeping, payroll, or administrative experience. Strong attention to detail and commitment to accuracy. Excellent organizational and time management skills. Proficient in Microsoft Excel, Outlook, and Word. Strong written and verbal communication skills. Ability to prioritize multiple deadlines in a fast-paced environment. Ability to maintain confidentiality and handle sensitive financial information. Preferred Associate's degree in Accounting, Finance, or Business. Experience with QuickBooks, OpenInvoice, Ariba, Oracle, Fieldglass, or similar accounting software. Experience with customer invoicing and accounts receivable. Experience working with multiple clients and high-volume invoicing. Experience in inspection services, construction, engineering, industrial services, or oil & gas industries.
