Job Description
Robinson Restoration is a leader in disaster restoration and one of the largest locally owned companies in Washington and Oregon. Our success is driven by one thing: our employees. We are currently looking for a Billing Specialist to join our Mitigation Division. This role is critical in ensuring that completed work is accurately documented, billed, and supported through the claims and collections process. Restoring homes and businesses after unexpected disasters helps relieve stress for our clients and delivers meaningful results. We are seeking individuals with the talent, accountability, and drive to succeed in a fast-paced restoration environment. Position Overview The Billing Specialist is responsible for managing files from estimate creation through dispute support, ensuring all documentation and scope are accurate, complete, and ready for invoicing. This role operates within a dynamic workflow model, where efficiency, accountability, and collaboration are essential to maintaining strong billing performance and supporting company revenue goals. Key Responsibilities Write accurate, detailed, and comprehensive estimates using Xactimate Ensure all files are properly documented, including photos, notes, and job details Maintain billing timelines by completing documentation within 24-48 hours of job completion Manage assigned files from estimate creation through dispute resolution Identify and resolve documentation gaps before invoicing Review scope to ensure it reflects actual work performed Support dispute and rebuttal processes with insurance adjusters Work toward weekly agreement goals on disputed files Maintain organization and progress across a high volume of active files Communicate effectively with Project Managers, Billing Supervisor, and team members Ensure files move efficiently through billing stages without delay Performance Expectations Write approximately 3-4 estimates per day Maintain an active workload of ~60 files Effectively manage workload and prioritize tasks Achieve 3-5 agreements per week on disputed files Ensure minimal delays in Invoice Pending and documentation statuses Maintain high-quality documentation to reduce pushback and disputes Experience, Skills & Abilities Minimum 2 years of experience writing estimates in Xactimate (restoration preferred) Strong understanding of mitigation, including water, fire, and mold Knowledge of restoration scope, equipment usage, and documentation standards Experience handling insurance disputes and negotiations is preferred Strong attention to detail and organizational skills Ability to manage multiple files and deadlines simultaneously Excellent communication skills (written and verbal) Ability to work independently while contributing to a team environment Proficient in Microsoft Office and general computer systems What We're Looking For A self-starter who takes ownership of their files Someone who thrives in a fast-paced, high-volume environment Strong accountability and follow-through A team player who supports overall workflow efficiency A professional who can communicate effectively with internal teams and external partners What We Offer Competitive wages Majority company-paid health insurance Paid time off Company-provided tools and technology Training and development opportunities A supportive, team-oriented work environment Why This Role Matters Billing Specialists play a critical role in the claims process by ensuring all work is properly captured, documented, and supported.
