Job Description

The Fees and Billing Specialist independently processes various billing workflows and work baskets and responds to billing inquiries from home office and field staff. The role participates in cross‑functional projects and committees and assists teammates with oversight of day‑to‑day operations, including developing, recommending, and implementing new policies and procedures. The Specialist independently seeks out, investigates, and implements billing‑related process improvements.
PRINCIPAL ACCOUNTABILITIES
Responsible for the day‑to‑day operations of fees and billing team processes. Reviews and analyzes reports to determine appropriate actions to update billing and custodial systems to ensure accurate client billing. Researches and resolves a variety of inquiries from internal teams related to fee and billing processes. Monitors, reconciles, and executes events in the investment advisory fee cycle to ensure proper billing and adjustments impacting client accounts and advisor compensation. Participates in cross‑functional projects and committees. Resolves a variety of investment operations inquiries escalated from home office and field staff, using industry knowledge and analytical skills to resolve issues. Participates in process improvements, product introductions, and system enhancements across the department, including system testing for projects and system maintenance requiring operational expertise.
QUALIFICATIONS
Bachelor's degree in Business or a related field, or equivalent industry experience. Broad professional knowledge of the investment industry gained through a minimum of three years in an investment services or operations role. Demonstrated analytical skills and the ability to make sound judgments in ambiguous situations. Self‑motivated and self‑directed, with the ability to manage multiple assignments with minimal guidance. Strong interpersonal, written communication, and Excel skills. Demonstrated ability to positively influence and work cooperatively with employees at all levels. Demonstrated ability to proactively adapt to change. Strong technical knowledge of operational aspects related to brokerage and advisory services and products. Analytical Thinking (NM) Organizes and compares various aspects of a situation to understand and identify key or underlying complex issues through the use of quantitative data and analysis. Leverages strong business acumen, problem‑solving, and interpersonal skills to think critically about situations from multiple perspectives and consistently seeks opportunities to improve processes. Attention to Detail (NM) Focuses on specific details to identify and correct errors before they are discovered and consistently exceeds quality expectations. Performs work with thorough proofreading to ensure accuracy, clarity, and overall quality in presentation and content. Continuous Improvement (NM) Utilizes available methods to identify improvement opportunities, executes solutions, and measures impact to enhance existing practices and processes. Implements feedback and lessons learned, and applies the ability to test assumptions and hypotheses to refine and improve products at any stage of the lifecycle. Process Improvement (NM) Assesses current processes and their impact to analyze, design, and manage improvement opportunities that drive more efficient and effective workflows. This position has been classified as an Associated Person under NMIS guidelines and requires fingerprinting and completion of required form.
