The Data Entry Specialist is often the first person our patients meet and the last person they see before leaving the clinic. Success in this role requires professionalism, attention to detail, confidentiality, teamwork, and a genuine desire to serve others with dignity and respect. Every interaction contributes to the clinic's mission of providing compassionate, high-quality healthcare to uninsured and underserved members of our community. This position is part of the Emergency Response Team and is expected to be available on-site during weather-related emergency situations (e.g., tropical storms, hurricanes). In the event of a weather-related emergency, you will report to the Director of Operations for specific instructions. Special circumstances will need to be approved by your immediate supervisor. Essential Responsibilities Patient Services Welcome patients, visitors, volunteers, and community partners in a professional and courteous manner. Register new patients and accurately update existing patient demographics. Schedule, reschedule, and cancel patient appointments. Verify patient eligibility and assist with required registration paperwork. Maintain patient confidentiality in accordance with HIPAA regulations. Assist with patient check-in and check-out procedures. Answer general patient questions and direct individuals to the appropriate staff member. Promote a positive patient experience by demonstrating compassion, professionalism, and respect. Electronic Medical Records (EMR) Accurately enter patient information into the clinic's Electronic Medical Record (EMR) systems. Maintain complete and accurate electronic patient records. Scan and upload medical documents into the appropriate patient record. Process incoming medical records, referrals, and correspondence. Review records for completeness and notify appropriate staff of missing information. Protect confidential patient information and maintain data integrity. Administrative Support Answer incoming telephone calls in a courteous and professional manner. Route calls and messages to the appropriate staff members. Prepare daily clinic schedules and patient charts. Assist providers and nursing staff with administrative support as needed. Maintain office supplies and assist with inventory when requested. Perform general clerical duties including filing, copying, scanning, and document preparation. Assist with special projects as assigned. Reporting & Data Management Maintain accurate patient statistics and tracking logs. Assist with grant-related reporting requirements. Collect and organize program outcome data. Support quality improvement projects and clinic reporting initiatives. Ensure reports are accurate, complete, and submitted within established timelines. Maintain organized records to support audits and compliance activities. Team Support Communicate professionally with patients, volunteers, staff, and community partners. Participate in staff meetings and training activities. Support clinic volunteers, students, and interdisciplinary team members. Cross-train in other front office functions as appropriate. Assist with workflow improvements and process enhancement initiatives. Demonstrate flexibility by assisting with other duties as assigned to support clinic operations. Compliance Maintain strict compliance with HIPAA privacy and confidentiality requirements. Follow OSHA safety standards and infection prevention practices. Adhere to all Good Samaritan Free Clinic and Talbot House Ministries policies and procedures. Complete required annual training and mandatory education. Maintain professional boundaries and ethical standards at all times. Protect confidential patient, employee, and organizational information.
